Job Description Summary

In direct support to the Director, P2P Operations, this role is responsible for overseeing the development and use of data and technology within Procurement and Payment Services (P2P) at Wake Forest University. This position oversees staff that are responsible for the supplier database maintenance, P2P data and analytics, and technology solutions. This position is responsible for identifying, recommending, and executing the implementation of technology solutions that support more effective and efficient processes and data analysis.

This position requires knowledge of data structures, functional processes, and technology solutions for the entire procure-to-pay function. Responsible for assisting the Director, P2P Operations with any special projects as assigned.

Job Description

Essential Functions:

  • Manages the oversight of supplier database, P2P data analytics, and related technology.
  • Responsible for functional decisions relating to system configuration and business process design, including enhancements, testing, and challenging current configurations. Includes reporting design, integration development, and system upgrades.
  • Provides high-level advanced data support and analysis to further in support of the P2P team, campus partners, and other stakeholders.
  • Serves as an expert in procure-to-pay processes to assist in the continuous improvement and re-engineering of business processes.
  • Assists in the development of University-wide focus groups to assist with process design changes that will have an impact on our campus community.
  • Performs quantitative analysis of complex business scenarios to help direct strategies, performance, and solutions.
  • Recommends, develops, and implements systematic or process driven solutions or opportunities to help further the mission of the P2P team.
  • Reviews and approves system security requests (spend authorizations/approvals) and participates in annual security audits.
  • Guides team in deriving insights from data and making recommendations to decision-makers across the P2P team and campus community.
  • Assists with the resolution of system anomalies in conjunction with Finance Systems or other technical support. Reports the information to departmental leadership and stakeholders.
  • Maintains data integrity and improves data quality management across various systems.
  • Manages the development of policies and procedures as it relates to certain procure-to-pay functions.
  • Maintains quality service by supporting and demonstrating excellent customer service standards, analyzing and resolving customer service obstacles, and recommending improvements.
  • Assists with mid-year and year-end fiscal close processes by preparing the EIB load for journal entries and/or accrual entries.
  • Promotes social responsibility programs and improves the University's awareness, engagement, and support of global citizenship and community outreach initiatives.
  • Any other duties as assigned.

Other Functions:

  • Assists team with transactional processing issues or challenges.
  • Possess working knowledge of the procure-to-pay process for optimal decision-making.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree plus three years of related experience, or an equivalent combination of education and experience.
  • Strong analytical and decision-making abilities.
  • Strong communication and collaboration skills.
  • Strong project management and organizational skills.
  • Ability to work positively in a demanding, fast-paced, team-oriented environment - both independently as well as collaboratively.
  • Advanced knowledge of current ERP system.
  • Proficiency in MS Office (Excel, Word, PowerPoint), email, and internet.
  • Ability to direct and motivate staff.

Preferred Education, Knowledge, Skills, Abilities:

  • Significant team leadership, managerial, and procure-to-pay team development skills.
  • Significant experience within a federal, state, or other highly regulated procure-to-pay environment.
