Job Description Summary

The Planner/Scheduler & Safety Coordinator is responsible for coordinating and optimizing maintenance, repair, and renovation projects across campus, while ensuring a safe working environment for all C&W Services (CWS) employees. This dual-role position involves planning, scheduling, and overseeing facilities-related activities, as well as implementing and managing safety protocols, training, and inspections.

Key Responsibilities

Planning/Scheduling Duties:

Develop and maintain comprehensive project schedules for preventive maintenance, repairs, renovations, and construction projects in coordination with facilities management teams. Coordinate with internal departments, external vendors, and contractors to allocate resources, schedule work orders, and monitor project timelines. Utilize Computerized Maintenance Management System (CMMS) to track and update project status, milestones, and budget allocations. Conduct regular site inspections and assessments to evaluate project progress, identify potential delays, and implement corrective actions as needed. Collaborate with stakeholders to ensure compliance with safety regulations, building codes, and institutional policies during project planning and execution. Communicate project updates, milestones, and deviations to relevant parties to maintain transparency and facilitate decision-making processes. Optimize resource utilization, workflow efficiency, and project prioritization to meet departmental goals and objectives. Assist in developing cost estimates, budgets, and procurement plans for facilities projects in alignment with institutional priorities and sustainability initiatives. Support the implementation of best practices, process improvements, and performance metrics to enhance project management effectiveness and accountability. Provide technical expertise, guidance, and training to facilities staff on project planning, scheduling tools, and practices.

Safety Coordinator Duties:

Conduct all safety training for CWS employees, ensuring compliance with institutional and regulatory standards. Serve as the primary point of contact for all safety-related issues for CWS at Morehouse College. Perform regular safety inspections of facilities, equipment, and workspaces to identify potential hazards and ensure adherence to safety protocols. Document safety inspections, submit "good catches," and address any identified safety concerns promptly. Develop and implement safety programs and procedures to minimize risks and promote a culture of safety within the organization. Investigate incidents, accidents, or near-misses, and prepare detailed reports with recommendations for corrective and preventive actions. Collaborate with leadership to integrate safety considerations into project planning and daily operations. Maintain and update safety records, training logs, and compliance documentation for regulatory audits. Lead periodic safety meetings and serve as a resource for employees to address safety-related concerns and training needs. Promote awareness and engagement around safety initiatives through communication campaigns and ongoing training.

Qualifications

Required:

  • Minimum of 3 years of experience in project planning, scheduling, coordination, or facility management, preferably in an educational or institutional setting.

  • project management experience, scheduling tools, and CMMS platforms for facilities operations.

  • Knowledge of safety standards, regulations, and best practices for workplace safety.

  • Strong analytical, organizational, and problem-solving skills with attention to detail and accuracy.

Preferred:

  • Certification in project management or safety, such as PMP, OSHA, or equivalent.

  • Experience conducting safety inspections, training programs, and incident investigations.

  • Knowledge of architectural, engineering, and construction principles and practices.

  • Experience in coordinating multi-disciplinary projects with diverse stakeholders and contractors.

  • Familiarity with budgeting, cost control, and procurement processes for facilities projects.
