Overview
The Staff Assistant provides essential administrative and operational support to the Vice President for Student Affairs (VPSA) at Utah State University (USU). Under the supervision of the Administrative Assistant, the Staff Assistant helps manage day-to-day office tasks, facilitates communication, and assists in coordinating key activities. This position ensures that the VPSA's office runs efficiently and supports student-centered initiatives across the university.

The role serves as a key point of contact between the VPSA's office and internal/external stakeholders, including students, faculty, and staff, and works closely with the Administrative Assistant to manage office operations.

Responsibilities
EXAMPLES OF DUTIES:
  • Answer and direct phone calls
  • Organize and schedule appointments
  • Write and distribute emails, memos, etc.
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Provide exceptional welcoming and general support to visitors
  • Other duties as assigned

Responsibilities:
  1. Welcomes students to the office.
  2. Supports the Administrative Assistant as directed.
  3. Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, calendar management, and other general duties as assigned.
  4. Screens inquiries and requests; uses judgement and tact to prioritize schedules, calendars, and meetings.
  5. Provides administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
  6. Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
  7. Composes various standard documents, correspondence and reports.
  8. Prepares agendas, coordinates meetings, and transcribes meeting minutes.
  9. Plans and executes events, including banquets, receptions, retreats, etc.
  10. Performs other miscellaneous duties as assigned.


Qualifications
Minimum Qualifications
  • Two years of experience; or vocational/technical training/associate degree in an office or business field plus two years of related experience; or a bachelor's degree in a related field is required.

Knowledge, Skills, and Abilities
  • Excellent customer service skills.
  • Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, and graphic packages.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Knowledge of USU programs, campus layout, and student involvement.
