Job Summary

API exhibits at 25+ international tradeshows, conferences and events each year to raise brand awareness, promote products and services and interact with our global customers. The Exhibits Manager is responsible for managing all aspects of API's participation at these events which include exhibition, sponsorship, speaking opportunities and more. This person will handle pre-show, on-site and post-show logistics for each exhibit in an effort to meet set KPI's. Internal and external coordination and clear communication are critical to success in this role.

Essential Duties and Responsibilities Include:

Exhibits Management

  • Oversee the implementation of strategies, objectives and KPIs for API's participation in 25+ tradeshows. Reporting to Director on a regular basis.
  • Responsible for managing the tradeshow budget and ensuring each show is within the designated budget.
  • Work with external vendors and internal creative team to design tradeshow booths that meet the needs of internal stakeholders and tradeshow attendees.
  • Act as main point of contact with third-party vendors and show organizers.
  • Manage pre-event logistics to include contracts, ordering show services, shipping, booth staff management, collateral and giveaways.
  • Lead pre-show staff preparation so booth staff are prepared upon arrival at each show.
  • Manage on-site exhibit logistics for select shows either remotely or in person (show dependent). When necessary, act as key personnel onsite directing booth staff and ensuring booth logistics.
  • Organize and lead post-show analysis to measure the success of the show and implement enhancements.
  • Research and suggest tradeshow/conference options for API departments to consider attending.
  • Coordinate sponsorship deliverables for applicable shows.
  • Help coordinate event participation promotion through social media, ads and other promotional activities.

Standards Events Management

  • Act as the liaison between the API Standards Department and API Events Department

Qualifications

  • Bachelor's degree in relevant area, or other related field equivalent work experience.
  • 3-5 years of experience in exhibit management, tradeshows, events or logistics preferred
  • 3-5 years of experience in a similar role and subject matter expertise.
  • Ability to prioritize, problem-solve and collaborate with team members.
  • Organized, detail-oriented, and deadline-conscious.
  • Excellent project management skills with the ability to handle multiple projects.
  • Ability to stand and/or walk for long periods while onsite.
  • Travel as needed to domestic and international tradeshows.

Physical Requirements

  • Able to remain in a stationary position working on a computer
  • Move about the office to access office machinery, meeting rooms, etc.
  • Operate a computer and other office machinery such as printers and copy machines
  • Transport items and equipment up to 25 lbs. on occasion

Travel Requirements

  • Up to 25%, travel as needed to domestic and international tradeshows.
