The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Simulation Center Education Support Specialist will be responsible for providing general administrative support to the SIM Center, managing the scheduling and use of all SIM Center spaces, finances, and coordinating all activities that take place within those spaces, including Continuing Medical Education (CME) programs. This role works closely with faculty, students, and staff to enhance the quality of medical education through simulation technology and activities.

Responsibilities

Educational Program Support:



  • Provide general administrative support with e-blasts, phone coverage, meeting arrangements, etc.
  • Provide comprehensive administrative assistance, manage communication channels, and maintain accurate records and documentation.
  • Oversee the daily operations of the SIM Center, including reception services, meeting coordination, and space management for simulation activities.
  • Ensure efficient scheduling, using B-Line software, and resource allocation for all simulation sessions, coordinating the use of exam rooms, procedure rooms, and debriefing spaces.
  • Resolve scheduling conflicts and work with external and internal partners to ensure seamless operation of the SIM Center.
  • Enforce policies related to space usage, ensuring compliance with institutional guidelines and maintaining an efficient use of resources.
  • Oversee the management and ordering of office supplies, office equipment, and facilities including the management of inventory, security, and maintenance as needed.


Communications & Data Management:



  • Maintains accurate records of student interactions, program participation, and outcomes for reporting and evaluation purposes.
  • Prepare and present monthly reports on operational performance, simulation utilization, and learner feedback to support decision-making processes.
  • Collaborate with institutional leadership to recommend improvements and changes based on data and evaluations.


People:




  • Foster an inclusive, learner-centered environment where students feel supported and encouraged to engage in active learning.


  • Establishes and maintains relationships with partner offices across OME to enhance outreach efforts and student support.



Fiscal Management and Budget Oversight:



  • Assist in managing the SIM Center's educational budget, tracking expenses, and ensuring cost effective use of resources for simulations.
  • Initiate all SIM Center supply and capital equipment requisitions, Purchase Orders, laundry, food, water and all other purchases for the SIM Center using Columbia Purchasing software. Submit proper documentation for SIM Center purchases, this includes obtaining required quotes, COI's, competitive quotes. Submit for payment all invoices for SIM Center supplies
  • Oversee the procurement process, ensuring timely acquisition of supplies, equipment, and educational materials necessary for simulation activities.
  • Prepare and present financial reports to leadership, detailing the fiscal health of the SIM Center's operations and providing recommendations for budget adjustments when necessary.
  • Collaborate with finance teams to ensure compliance with institutional financial procedures, ensuring that all expenditures align with the center's educational objectives.

  • Engages in training and professional development opportunities to enhance support skills and knowledge.
  • Additional administrative duties as assigned.


Minimum Qualifications



  • Bachelor's degree or equivalent in education and experience required


Preferred Qualifications




  • Excellent interpersonal, writing, and communication skills are required.


  • Proficiency of Microsoft Office Suite, especially Microsoft Word and Excel


  • Ability to successfully prioritize multiple responsibilities and projects.


  • Strong sense of teamwork including the ability to establish and maintain strong relationships.


  • Ability to manage professional relations with various constituencies and represent the programs, department, and institution in a positive manner will be expected



Other Requirements




  • At least one year of experience in student support or program coordination.
