We are currently looking for a compassionate individual for the administrative coordinator position within our Pastoral Care department located in the Parkes Chapel of St. Ann's Community located on the Irondequoit campus. The primary purpose of your job is to assist the Director of Pastoral Care in ministering to the Spiritual needs of our Seniors and their families, the Staff and Volunteers of the St. Ann's Community. St. Ann's Offers:

Job Description:
- Manages day-to-day activities of Pastoral Care Department to ensure coordination and delivery of pastoral care programs and pastoral care provided.
- Collaborates with staff on both campuses to manage all aspects of funeral Masses/services, memorial services with funeral directors, pianist/organist/soloist and family.
- Set-up the spiritual care programming and strategies needed for our elders in independent living and assisted living throughout our community by contacting necessary departments and individuals.
- Ensures coordination of all activities by facilitating regular staff meetings and through other communications.
- Recruits and manages guest visiting clergy for monthly Ecumenical (interdenominational) Worship Services for both campuses.
- Maintains and enhances a relationship with clergy in Webster and Irondequoit
- Develops and maintains the schedule for Priest coverage for liturgical celebrations for all of St. Ann's Community. Coordinates vacation coverage and other scheduling needs with St. Ann's Priests as well other Catholic clergy to ensure full coverage.
- Manages the financial transactions for the department including approval of routine expenditures, monthly reconciliation of expenses against actual budget, makes deposits to the Finance office. Reconciles monthly departmental credit card statements. Manages the Mass Stipend Account and Chapel Fund with direction from the Pastoral Care Director. Prepares payment for five priests for Masses said monthly.
- Manages holiday and liturgical decorating of the Chapel & coordinates manpower to do so for both campuses.
- Manages and coordinates the purchase of supplies and materials for both campuses.
- Manages and trains the volunteers who do the data entry of the residents' sacramental records, copy the bulletin, schedules Masses for both campuses.
- Creates and prepares weekly bulletins for both campuses.
- Manages sensitive resident information and reports according to HIPAA statues in a confidential manner. Triage grieving families and difficult situations in a sensitive manner and schedules most funerals.
- Manages customer service to all internal/external customers for both campuses.
- Visits new residents to rehab and long-term care when needed.
- As needed, serves as lector, communion minister and pastoral visitor for the department across the entire community and on scheduled weekends.
- Performs other duties as assigned by the Director of Pastoral Care.
Candidate Requirements:
- Bachelor's Degree in disciplines such as religious studies, pastoral care, social work or creative arts.
- Experience in office management, and a combination of education and experience progressively responsible experience.
- Must be computer literate to include word processing, spreadsheet, e-mail, calendaring/scheduling, graphs and diagrams for monthly and annual reports.
