TITLE:

Development Project Coordinator

REPORTING RELATIONSHIP:

Director, Development Services

BASIC FUNCTION:

Provide administrative and project support for American Academy of Pediatrics fundraising activities, including managing documents, preparing reports and presentations, managing calendar appointments for department leadership, coordinating meeting logistics and associated travel arrangements, and tracking work projects. Enter and maintain data into donor database, conducting regular audits and coordinating updates with AAP IT staff.

DUTIES AND RESPONSIBILITIES:

1. Coordinate meeting and travel arrangements for Chief Development Officer (CDO) and Development management team. Work with donors/prospects and their support staff to coordinate dates, logistics, agendas and all relevant details of on-site and off-site meetings.

2. Provide administrative support to the CDO and their direct reports, including creating reports and presentations.

3. Respond to all inquiries from sponsors, donors, members, staff, and the public in a timely, professional, and service-oriented manner.

4. Support the CDO with email correspondence and inbox management.

5. Contribute to enhancing and maintaining a robust and accurate donor database, ensuring data integrity through ongoing data audit and cleansing, duplicate record management, and monthly updates from IT systems. Adhere to established data entry standards and provide training to Development staff on system usage.

6. Support fundraisers with data management by entering contact notes, track opportunities and tasks, and produce lists and reports.

7. Recommend and implement process improvements to enhance workflows, including automation and efficient use of technology tools.

8. Serve as the department superuser for SharePoint and ensure organized and useful document management.

9. Assist with documenting and maintaining a centralized repository of fundraising SOPs.

10. Assist with gift and pledge processing.

11. Perform all other duties as assigned.

EDUCATION:

Bachelor's degree in communication, business administration, or related field required, or an equivalent combination of relevant education and work experience.

EXPERIENCE:

At least two years related general administrative and/or project coordination experience required, including database management and coordinating calendar appointments and/or meeting arrangements. Experience with Salesforce software is highly desirable. Experience in a fundraising environment or nonprofit preferred.

ESSENTIAL SKILLS:

Strong technical acumen essential with proficiency in MS Office, database applications, and the ability to learn and apply new technologies; experience with SalesForce, document collaboration platforms (eg, SharePoint), virtual meeting platforms (eg, WebEx, Teams), Adobe Acrobat, and SmartSheet preferred. Must be able to maintain confidentiality of donor information, manage multiple priorities simultaneously within deadlines, pay close attention to detail, take initiative, work both independently and as part of a team, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion. Excellent organizational, interpersonal, time management, verbal/written communication, proofreading, and critical thinking skills required, as well as the ability to maintain confidentiality of donor information. Some overtime and evening/weekend work required, as well as the need for flexibility in arranging work schedule to accommodate availability of members and external partners.

A reasonable estimate of the current base pay range for this position is $56,691.60 - $59,845.50. Compensation decisions take into account a wide range of factors, including but not limited to relevant experience, skills, certifications, geographic location, business needs, and organizational policies. In addition to those factors, we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer.
