A Brief Overview
The Events Coordinator will assist in coordinating a wide range of events ensuring seamless logistics, and maintaining consistent communication between internal and external partners. The ideal candidate will have a passion for event planning, exceptional attention to detail and strong collaboration and communication skills.

What you will do

Provides high-level support, across the department's event portfolios, including but not limited to:

  • Assist in developing event concepts and schedules to meet departmental objectives.
  • Coordinate with vendors, venues, caterers, and other external partners to manage logistics, ensuring high-quality event delivery.
  • Oversee and update Workfront and/or Donorforce platforms as well as other databases and offline records.
  • Maintain event timelines and ensure all deadlines are met.
  • Support the creation of event materials, including invitations, agendas, signage, name badges etc.
  • Help manage event budgets, track expenses, and ensure cost-efficiency.
  • Provide on-site event support, including setup, registration, and post-event wrap-up.

Responsible to manage department inbox and serve as a point of contact for department inquiries.

Accountable for managing and regularly updating the department's Sharepoint site and resources.

Lead special projects, as designated, ensuring timely completion and alignment with departmental goals.

Education Qualifications

  • Bachelor's Degree Required

Experience Qualifications

  • At least one (1) year professional experience Required
  • Events experience Preferred

Skills and Abilities

  • Ability to operate a company vehicle and/ or be insured through a company policy.
  • Working knowledge of computer software including Microsoft Office suite; knowledge of Salesforce or other constituent management system helpful.
  • Ability to organize and present data accurately and concisely.
  • A sincere appreciation for people and how they are each uniquely motivated.
  • Poised and engaging, empathetic communications style based on natural warmth and enthusiasm.
  • Fast-paced and results oriented with the ability to work in a timely manner with multiple deadlines and competing requirements.
  • Strong written, presentation, verbal, organizational, and interpersonal skills; demonstrated ability to relate well to individuals from diverse backgrounds.
  • Demonstration of good judgement, professionalism and the highest standards of ethical conduct.
  • Travel, local and regional, required.

Licenses and Certifications

  • Driver's License - Department of Motor Vehicles - upon hire - Required
