Job Summary

Please note this opportunity is 20 hours per week; the anticipated duration is approximately six months. Will require on-site work at Mission Bay campus approximately twice per month.

The Clinical and Translational Science Institute (CTSI) spans the four UCSF health science schools (Medicine, Pharmacy, Nursing and Dentistry), the UCSF Graduate Division, and collaborating affiliates of UCSF. The mission of CTSI is to facilitate clinical and translational research to improve patient and community health. CTSI does this by providing infrastructure, services and training to make research more efficient.
CTSI's Community Engagement and Research Equity Programs provide expert advice to investigators with the goal of improving the quality of science at UCSF. The Program Assistant provides administrative support for both programs including: scheduling and follow up from meetings, triaging research consultation requests using SalesForce, managing the programs' best practices website using Drupal, handling payments for program consultants through UCSF's BearBuy system.

Key Responsibilities:

  • First line review and triage of consultation and training requests using SalesForce.
    • Requires sufficient judgment and subject expertise (or ability to learn) to review and triage requests.
    • Attention to detail to ensure requests are followed up on.
  • Receive and respond to inquiries regarding services and program policies.
    • Escalate to program manager when appropriate.
    • Requires excellent written communication skills.
  • Process payment requests in a timely manner and follow up with payees diligently.
    • Requires excellent project management skills.
  • Update best practices website regularly using Drupal.
    • Previous experience with Drupal is highly desired.
  • Other duties as assigned.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
