Summary: The Legal Assistant supports the daily activities of the legal contracts team, which includes the attorney and contract coordinators. Primary duties include but are not limited to supporting facilitation of contract processing and workflows; administration of the contract management system; handling customer service inquiries from internal and external customers; and supporting other administrative needs and projects as assigned.

This non-exempt position will report to the Attorney in the Division of Finance and Facilities. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

The anticipated salary range for this position is $55,000 - $63,000 (paid hourly, commensurate with related experience).

Responsibilities:



  • Promote and assist with the delivery of legal services, primarily contracting assistance throughout the organization. Work with the attorney, contract coordinators, and outside legal, as necessary, to assist in administrative matters, including the need for expertise in MS Office, Adobe, and proficiency in writing. Responsible for assisting the attorney and contract coordinators with contract processing, legal assignments, response to Stark questionnaires, notary, and debarment reports. Responsible for providing customers with pertinent contract information, including certificates of insurance and IT Security information.

  • Administrator for the Contract Management System (CMS). Responsible for archiving, accuracy of information, reporting capabilities as requested by the attorney, CFO, CRO, or other ACS management. Assist with contract templates, including drafting and updating templates. Helps staff with CMS login, archiving, training, contract signature collection, and access to contract templates. Assists the attorney in managing the CMS workflows for timely and accurate completion. Sends department communications and files/records documents as needed. Provide a weekly status report to the attorney and monthly reports to QIP managers on the status of their various service contracts.

  • Attending meetings with the attorney to take notes and assist as needed. Continuously learning and staying up to date with all the ACS programs, the CMS, contract templates, and policies. Possesses excellent customer service skills and can handle difficult and complex conversations/negotiations with customers with diplomacy.

  • May assist the attorney and contract coordinators with various other standard administrative tasks and various projects that arise such as, mailing, copying, scanning, handling invoices, reporting, document drafting and formatting, and managing the attorney's meeting requests.



Required Education and/or Experience:



  • Bachelor's degree or higher from an accredited college or university is preferred but not required.

  • At least 2-4+ years of similar administrative assistant or legal assistant experience is required.

  • CRM or CMS (contract management system) experience strongly preferred.

  • Excellent communication skills (both written and verbal) are required. Submission of a cover letter is required as part of the application process.

  • Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint).

  • Strong attention to detail and organizational skills required.
