Your Opportunity as the Senior Payroll Coordinator / Administrator (full time, non-exempt position) ~internally this role will be titled Senior Operations Support Coordinator The Senior Payroll Coordinator / Administrator will be responsible for the accurate and timely completion of payroll for hourly technicians in a multiple union manufacturing site. In addition to payroll responsibilities, they will serve as the single point of contact for the Marketplace (i.e., purchase order and invoice management), support other purchasing and HR functions on an as-needed basis, and may perform site administrative duties. Location: Buffalo, NY manufacturing plant
Work Arrangements: 100% on-site
- Typical schedule: Monday - Friday, 8:00 AM - 4:30 PM
- Willingness and flexibility to work up to a half day (remotely) as needed (on a Monday holiday or the Sunday prior to a payroll run)
- Willingness to flex work to off-shift and flow to the work as needed
- Come in at 5:00 AM - approximately 1-2 times per to month
- Work on a Saturday morning from 6:00 AM - 8:00 AM - approximately once per month
Reports to: Human Resources Manager Direct Reports: none In this role you will: Human Resources (HR), Payroll, and Organizational Capability (OC) Pillar Support:
- Lead all hourly payroll processes for four different pay groups. Responsible for accurate and timely processing, reconciling, and transmitting of hourly payroll for a weekly pay cycle in a plant manufacturing multiple union environment using Workday
- Work with managers to ensure accuracy and proper approval of timesheets and to ensure that all time and exceptions are properly coded and documented through Workday time-keeping system
- Ensures that pay codes and schedules are properly maintained in the timekeeping system
- Prepare and process all withholdings (e.g., union dues, company store purchases, pension payments)
- Investigates issues and provides managers and employees with information regarding employee time entry (including time-off); corrects timekeeping errors leading to inaccurate pay in a timely manner
- Gain an understanding of three separate union contracts and ensures consistent application of the terms of the contract related to payroll processing
- Manage all hourly attendance tracking and generating written notices to employees
- Provide timely and accurate reporting including, but not limited to; employee attendance, time-off, leaves (FMLA, STD etc.), overtime, and may maintain seniority list
- Serve as subject matter expert for HR policy and employee payroll/time-off questions
- Ensure all company, federal, state, local, and other applicable compliance requirements are met
- Serve as back-up for full life cycle recruiting for hourly positions, as needed
- Serve as back-up for labor scheduling
- Support new hire orientation, scheduling, organizing, and planning
Employee Engagement and Community Events:
- Manage Company Store and Biscuit Employee Product purchase programs
- Support plant event logistics (Summer Safety BBQ, Plant Meals, Retirement Celebrations, etc.)
- Support management team with planning of meetings and other facility events
- Support donations and employee sponsorship requests
- Support employee engagement initiatives
Accounting and Administrative support:
- Provide administrative support to HR Manager, Plant Manager, and Plant Operations
- Manage vendor invoices through the Marketplace system
- Coordinate service orders and work appropriate vendors to reconcile invoices
- Acts as the super user / single point of contact at the plant for the Marketplace (i.e., purchase order and invoice management); assists system users with questions and troubleshooting, ensures accurate data is being recorded

- Administration duties - include ordering and maintaining office supplies
- Compensation range: $47,500 - $67,650 annualized (hourly rate: $22.83 - 32.52)

- High school diploma
- 3 years of payroll processing experience, for a minimum of 100 employees
- Microsoft Office Suite - including proficiency with Excel (i.e. extrapolate reports using V lookups, pivot tables, etc.)
- Strong attention to detail and analytical skills
- Strong customer service and communication skills
- Personal initiative to work independently and possess a high degree of diplomacy, confidentiality, and discretion
- Ability to work in a face-pace environment
- A "can-do" mindset and attitude
Additional skills and experience that we think would make someone successful in this role:
- A bachelor's degree
- Prior payroll experience with Workday and / or Oracle
