ABOUT THE JOB

Helena's Human Resources team is looking for an HR Assistant to undertake a variety of clerical duties and administrative support activities. This person needs to be motivated, organized, a great team player and able to jump in and hit the ground running. WHAT YOUR DAY WILL LOOK LIKE




  • Assist with a variety of daily operational duties for the HR Team (Recruiting, Benefits, HRIS, Payroll, Employee Relations)
  • Answer frequently asked questions from applicants and employees relative to standard policies, benefits, processes, etc
  • Run various reports including new hire compliance reports, approved driver list reports and job action reports
  • Process unemployment claim
  • Assist in processing Work Opportunity Tax Credit documentation


  • Upload new hire employee documents in ADP Vantage that require electronic signature for new hire onboarding


  • Conduct employment verifications via phone and e-mail
  • Notify managers when electronic Federal I-9 forms need completion on new hires/rehires


  • Process/maintain Temp Agency Documents (MVR and FCRA forms)
  • Complete Occupational Employment and Wage Statistics Reports (OEWS)


  • Follow up with employees to ensure onboarding documentation is completed
  • Assist in maintaining accurate and up-to-date files, records and documentation
  • Assemble new hire packets
  • Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties and retirement celebrations
  • Special projects and other duties as assigned by leader



EDUCATION & EXPERIENCE



  • High school diploma or equivalent is required
  • Two years of related work experience is required



SKILLS & QUALIFICATIONS



  • Proficiency in Microsoft Office is required
  • Proficiency in ADP is preferred
  • Ability to prioritize tasks and adjust to changing needs
  • Ability to maintain the integrity and confidentiality of files and records is required
  • Meticulous attention to detail
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism and diplomacy
  • Ability to read, write and speak in English is required


  • Regular and reliable attendance is expected


  • Communicating in Spanish is a valuable skill at Helena
  • Valid U.S. driver's license is required to drive a company vehicle



Successful completion of a drug test and background check is required for all positions at Helena.

WORK ENVIRONMENT & PHYSICAL ASPECTS OF THE JOB

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 25 pounds.
