The Operations Associate position is designed to provide training for a career within the Brigham and Women's Hospital Development department. This is the fundraising department for the hospital. Reporting to the Director of Finance and Facilities, the Development Operations Associate will provide administrative support to Development finance, facilities, human resources, research, and information systems teams. This is a hybrid position with some work required to be completed at the office at Assembly Row in Somerville and some work that can be completed remotely.

  • One year's administrative experience preferred
  • Minimum of a high school diploma or GED required

    Operations/Administration

    • Manage administrative tasks related to Development Operations with an objective of making all administrative tasks for the rest of the office as easy as possible
    • Provide exceptional customer service over the phone, in-person, and via email; serve as the general office administrator
    • Field incoming calls to the Development department
    • Respond or forward as appropriate all messages in the giving@bwh.harvard.edu inbox
    • Become a knowledgeable office resource for every type of incoming request
    • Distribute daily internal mail and packages
    • Maintain off-site document storage log and facilitate document archive delivery and pickup requests
    • Submit expense reports for team members
    • Book and coordinate travel colleagues' business travel
    • Order new cell phones, process cell phone upgrades and transfers, resolve performance problems

    Facility Support

    • Order and distribute office supplies, stamps, and other items as needed
    • Have a working knowledge of how to use all conference room technology (conference phones, videoconferencing equipment, etc.) and provide tech support to the rest of the department as needed
    • Submit work orders for building and office maintenance
    • Serve as the in-office on call associate as needed. Responsible for any time-sensitive office issue that may arise (sign for a package, pick up something from the hospital, receive a check that may be dropped off, etc.)

    Research and Prospect Strategy

    • Assist with BDO staff requests related to prospect and donor demographic and contact information, including but not limited to: home addresses, phone numbers, emails, business information, spousal/children confirmation, and deceased confirmation
    • Assist with the preparation of biographical research information for select BWH cultivation and stewardship events
    • Assist with prospect management projects such as prospect assignment changes
    • Perform data enrichment and records management projects in Blackbaud database (Atlas)
    • Assist with other prospect identification and research information projects, as needed

    Information Systems

    • Answer incoming phone calls and assist gift processing with recording donations
    • Update the office constituent database (CRM) to record returned mail and account for possible address changes
    • Assist the Information Systems team with other data entry and data quality projects as needed
