General Summary
Under general supervision of the Child Care Financial Assistance Manager, the Program Assistant is responsible for providing administrative and program support for the Case Management Department.

Essential Duties And Responsibilities

Within the team structure, provide administrative support services to case specialist and teams for families enrolled in subsidized child care programs, which include the following responsibilities:

  • Receive and process mail, log documentation into NOHO in a timely manner according to program regulations and guidelines. Review submitted documentation to assure completion; follow-up on missing documentation. 25%
  • Support Subsidy tasks including, but not limited to: filing, typing, sending/receiving/logging subsidized mailings; preparing enrollment and provider packets; sending copies of Notice of Action to parents and/or DPSS, and clerical support with photocopying, filing, faxing, typing, mail processing. 20%
  • Answer telephones, assist callers or transfer calls needing attention. Provide phone call follow-up as needed. Log into NOHO as necessary.15%
  • Enter data in NoHo and do searches in response to inquiries. 15%

Non-Essential Duties And Responsibilities

These duties include tasks that are required, but currently comprise of less than 5% of the daily workflow for this job:

  • Participate in meetings
  • Prepare, send and receive courier mail (FEDEx/Certified Mail/ UPS, etc...).
  • Provide support to Subsidized Program managers as needed. Participate in agency-sponsored workshops, conferences and events as needed
  • All other duties that may be required, as part of the essential functions of the job, as assigned.

We have doubled in size over the past 10 years. We provide child development and early education, workforce development opportunities, child care financial assistance, Head Start preschool and Early Head Start services and more for close to 50,000 parents, children, and child care providers each month in Northern Los Angeles County, including Antelope Valley, and the entirety of San Bernardino County, including an office in Victorville, serving a total geographic area of 22,500 square miles.
