We are seeking a dynamic and experienced Benefits Manager to oversee and manage all aspects of our company's benefits program. This role requires a strong background in managing key functions such as Vendor Relations, Health & Welfare benefits, 401(k) plans, Reporting, and Benefits Administration. The ideal candidate will be a strategic thinker with a deep understanding of benefits compliance, employee well-being, and vendor partnerships. As a Benefits Manager, you will ensure the seamless administration of our employee benefits offerings while optimizing cost-effective and competitive solutions for our workforce.
Key Responsibilities:
  • Vendor Relations:
    Manage relationships with benefits vendors, including health insurance providers, 401(k) plan administrators, wellness program providers, and other third-party service providers. Ensure effective communication, service delivery, and problem resolution. Negotiate contracts, manage renewals, and oversee performance metrics to optimize cost and service quality.
  • Health & Welfare Benefits:
    Administer and oversee the company's health and welfare benefits program, including medical, dental, vision, life insurance, disability, and wellness initiatives. Stay current on market trends, regulatory changes, and compliance to ensure the program meets both employee needs and legal requirements.
  • 401(k) Plan Management:
    Manage the administration of the company's 401(k) retirement plan, ensuring compliance with all regulatory requirements and plan documentation. Work with internal teams and third-party providers to manage plan enrollment, participant education, contributions, distributions, and audits.
  • Reporting & Compliance:
    Generate accurate and timely reports on benefits program utilization, employee participation, and financial impact. Ensure compliance with all federal and state regulations (e.g., ACA, ERISA, HIPAA, IRS regulations). Prepare for and participate in audits related to benefits programs.
  • Benefits Administration:
    Oversee day-to-day benefits administration including enrollment, eligibility, claims support, and employee inquiries. Provide guidance and support to employees regarding benefits questions and concerns, helping to resolve complex issues effectively.
  • Program Optimization & Strategy:
    Analyze and recommend opportunities to enhance benefits offerings, streamline administration, and drive employee engagement. Collaborate with HR and leadership teams to align benefits strategy with organizational goals.
  • Employee Communication & Education:
    Develop and implement effective communication strategies to educate employees about benefits offerings. Organize open enrollment periods, benefits workshops, and other initiatives to ensure employees understand their options and make informed decisions.
Qualifications:
  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • Minimum of 4 years of experience managing employee benefits, with a focus on Vendor Relations, Health & Welfare, 401(k), Reporting, and Benefits Administration.
  • Strong knowledge of benefits laws and regulations (e.g., ACA, ERISA, HIPAA, IRS).
  • Proven experience with benefits administration software and reporting tools.
  • Excellent interpersonal and communication skills, with the ability to build strong relationships with vendors, employees, and leadership.
  • Strong problem-solving skills and ability to manage complex issues.
  • Detail-oriented with exceptional organizational skills and the ability to prioritize multiple tasks.
Preferred Qualifications:
  • Certified Employee Benefits Specialist (CEBS) or similar professional certifications.
  • Experience with large-scale benefits programs and multi-state operations.
  • Knowledge of self-funded plans, wellness initiatives, and cost containment strategies.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and HRIS/Benefits administration platforms.

Determining compensation for this role (and others) at Vaco depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;
  • other business and organizational needs.

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
