Overview
Academic Affairs Assistant The Academic Affairs Assistant provides administrative and operational support to the Academic Affairs department, ensuring the smooth execution of academic programs, faculty activities, and student services. This role serves as a liaison between faculty, students, and administrative staff, managing schedules, records, and communications to uphold academic standards and support institutional goals. Responsibilities
Principal Accountabilities & Deliverables
- Assist in scheduling meetings, preparing agendas, and recording minutes for Academic Affairs committees and leadership meetings
- Maintain accurate records of academic policies, curriculum changes, and faculty assignments
- Coordinate the preparation and distribution of academic calendars, course schedules, and related materials
- Support faculty in submitting and processing course syllabi, grading, and other academic documentation
- Assist in onboarding new faculty, including ensuring compliance with institutional policies and providing necessary resources
- Serve as the point of contact for faculty inquiries related to academic policies, procedures, and deadlines
- Respond to student inquiries related to academic affairs, such as registration, course schedules, and grade appeals
- Assist in the coordination of academic advising sessions, workshops, and events
- Maintain and update academic records to ensure accuracy and compliance with institutional and accreditation standards
- Assist in preparing reports for accreditation, program reviews, and institutional effectiveness initiatives
- Coordinate logistics for academic events, such as orientations, commencements, and faculty development workshops
- Collaborate with leadership to complete and track all programmatic licensure applications and state approvals
- Draft and distribute communications on behalf of the Academic Affairs office to faculty, students, and staff
- Compile and analyze data for academic reports, including enrollment trends, retention rates, and program evaluations
- Execute timely dissemination of updates on academic policies, deadlines, and initiatives
- Other duties as assigned.
Qualifications
Education / Experience
- Associate's Degree in Education, Administration, or a related field (preferred)
- Minimum of three (3) years of administrative experience (required)
- Knowledge base and experience should include administrative experience with higher education or health care (preferred)
Skills
- Proficiency in Microsoft Office Suite
- Proficiency with learning management systems (LMS), and student information systems (SIS) (preferred)
- Strong customer service skills

Work Environment
- Work is performed indoors in a climate-controlled environment when on site at assigned company location. Employees must be able to safely ambulate when on company premises.

- Onsite; Work environments may include exposure to student learning environments with a variety of conditions. Employees must be able to follow all safety precautions including the use of personal-protective equipment. Employees must also be able to adhere to site-specific safety procedures.
