This is not a remote position. Candidate will be required to work onsite two times weekly in the Princeton, NJ office.

Summary of Job:

The Associate Director, Medical Affairs Project Management and Operations will support the North American Medical Affairs Team will have a solid background in project management within the healthcare or pharmaceutical industry. The ideal candidate brings a patient centric mindset, innovation, and champions digital capabilities and can establish strong working relations with alliance partners and 3rd party vendors to achieve KKNA business goals and accelerate our digital journey.

As a Project Manager, you will oversee the planning and execution of Medical Affairs initiatives, ensuring alignment with organizational objectives and compliance with legal and regulatory standards. This role requires a strategic thinker who can also dive into details. In addition, this candidate will have exceptional organizational and communication skills, as well as the ability to navigate a complex matrix organization and collaborate effectively with both internal and external stakeholders.

Essential Functions:

Medical Affairs Excellence (Cross Therapeutic areas, multi- regional/global)



  • Lead efforts in designing, building, and maintaining Power BI dashboards to support KKNA Medical Affairs reporting, such as insights into MSL activity, publication planning, and Key External Expert (KEE) engagement.
  • Integrate data from CRM systems to provide actionable insights for KKNA Medical Affairs strategies, including HCP engagement, scientific exchange, medical education programs, and medical information requests. .
  • Analyze CRM and dashboard data to track Medical Affairs impact, identify trends, and support data-driven decision-making.
  • Train Medical Affairs teams and stakeholders effectively utilizing dashboards and analytics tools.
  • Embraces Kyowa Kirin core values and embeds Kabegoe Leadership Principles in their day-to-day work.
  • Drives operational excellence activities by setting plans, policies, and capabilities while coordinating across the region and with Global Medical Affairs to ensure global and local
  • Support Senior Director of Operations and Excellence and Medical Heads managing annual operations longer-term strategic planning, goal development and tracking, annual and monthly budgets, metrics and reporting, contracting, information system requirements, and ensuring all cross-functional projects are on track.
  • Champion of Senior Medical Directors and communicate all key timelines for deliverables (e.g. Medical Affairs plan, monthly and quarterly reports, annual budget planning process).


  • Work with the Medical Affairs team on the creation of contracts, purchase orders, consulting agreements, and meeting contents for medical meetings (e.g. Ad Boards) and specified projects.
  • Support tracking, analysis, and reconciliation of invoices and purchase orders regarding meetings and specified projects.
  • Maintain and manage Medial Affairs databases for respective TA (e.g. SharePoint / Teams).
  • Track KOL interactions with Medical Affairs constituents from/for meetings, congresses, and ad boards, as needed.
  • Work with KNA Medical Affairs organization to develop and champion appropriate governance, charters, and meeting cadence.
  • Organize, coordinate, and execute meetings (logistics, financial administration, and documentation).


Job Requirements:

Education



  • Bachelor's degree is required; graduate level science or business management degree is strongly preferred.
  • Project Management qualification (PMP or equivalent) is preferred.


Experience



  • 7+ years of pharmaceutical experience. Broad understanding of pharmaceutical development, Medical Affairs, and commercialization concerning cross-functional responsibilities including but not limited to Clinical Development, Medical Affairs, Tech Ops, Quality, Safety, Regulatory and Commercial. Experienced and knowledgeable regarding pharmaceutical regulatory and legal requirements and global execution.
  • Experience in project managing cross-functional project teams and a global pharmaceutical business environment.


Technical Skills

Strong working knowledge and application of Data Visualization Tools, such as Power BI, Tableau or other similar applications. Experience with designing and or optimizing a Customer Relationship Management system (CRMs) and working in Financial Planning& Analysis platforms is a plus. Thorough understanding of both theoretical and practical aspects of Project Management. Strong Project Management skills across all phases of a project. In depth knowledge of MS Project and other portfolio/ schedule management tools. Excellent communication skills (written, verbal, listening, and presentation). Strong experience using Microsoft Office Suite including Word, Excel, and Power Point.

Highly motivated and great attention to detail. Strong endurance to work under tight timelines and complex/changing situations. Excellent written and oral communication skills. Excellent problem-solving skills. Broad level of interpersonal skills and flexibility. Cultural sensitivity and ability to develop consensus within a multinational organization. Capable of building cross-function cross-regional quality working relationships.

Physical Demands: Normal office environment with prolonged sitting and extensive computer work. Flexibility in working hours to accommodate travel and meetings. Sitting at a workstation

Working Conditions: Requires up to 25% of domestic and international travel
