Job Summary
The Administrative Assistant I provides essential administrative support to faculty and students in the Jindal School of Management ( JSOM). This position is responsible for managing tasks critical to the success of students, faculty, and staff, including administrative, financial, and budgetary support. The role includes maintaining tracking spreadsheets, reporting tools, and managing the operating budget for the Healthcare Management Area and the Center for Healthcare Leadership and Management.
Minimum Education and Experience

Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.

Essential Duties and Responsibilities
Faculty Support:

  • Assist faculty with paperwork for approval procedures, purchasing requests, travel arrangements for faculty and student groups, expense report reviews, and travel vouchers for reimbursement.
  • Manage reconciliations, inter-departmental transfers, and track account funds, providing updates and processing purchases for membership renewals, registrations, and external payments.
  • Create and maintain a database of faculty publications, events, impact, engagement, and other contributions to the university.


Support Programs on various activities as needed, including:

  • Support recruitment activities, ad campaigns, web and search engine campaigns, and scholarship yield efforts.
  • Manage website content to facilitate program recruitment.
  • Collect, manage, and summarize data and records required for program operations and accreditation.
  • Assist with student inquiries regarding internships, job placement, and program-related matters.

Event and Career Support:

  • Organize and oversee events, workshops, conferences, and student competitions.
  • Manage business relations related to internships and full-time job opportunities in collaboration with the Career Management Center.
  • Maintain records required by the university and accreditation bodies.

Administrative Operations:

  • Research, enter, and update faculty, student, and program-related data each semester/year.
  • Perform additional administrative duties as needed to support the Healthcare Management Area and Center for Healthcare Leadership and Management.

Remote Work Notice
A hybrid remote work schedule may be available (currently 1-day remote weekly). Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment. Use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
