Role and Responsibilities:


We are looking for an enthusiastic, detail-oriented, and proactive HR Coordinator to join our team. This entry-level position will support the Human Resources department by performing a variety of administrative and organizational tasks to ensure the smooth operation of HR activities.



  • Perform administrative tasks to support the human resources department, including preparing and maintaining HR files and documentation.

  • Create and send employment-related correspondence, including letters for terminations, intent to return to work, and other HR matters.

  • Compile and maintain confidential professional correspondence, ensuring compliance with legal and organizational standards.

  • Assist with the coordination of daily scheduling and tracking of HR projects, events, and training sessions.

  • Coordinate departmental tasks and ensure timely completion of assigned projects and initiatives.

  • Perform accurate data entry and review in the HRIS software, employee records, and related documents.

  • Coordinate HR-related meetings, conferences, and travel arrangements.

  • Make telephone calls and inquiries to gather information regarding employee status, collaboration with other organizations, and resources.

  • Prepare and process reports related to personnel activities, such as new hires, terminations, and internal transfers.

  • Track employee training programs and ensure that required certifications and courses are completed.

  • Assist in managing and coordinating certificates of insurance and vehicle management programs (including accident claims and tracking losses).

  • Report and track general liability insurance claims/losses and assist with related documentation.

  • Review and process court orders, ensuring compliance with applicable policies.

  • Coordinate performance evaluations, track progress, and ensure timely completion.

  • Assist with the implementation of new HRIS modules and processes.

  • Serve as a back-up to the administrative assistant, providing support as needed.

  • Undertake delegated HR tasks and special projects to support team objectives and company needs.

  • Assist with employee onboarding, ensuring new hires are properly inducted into the company.

  • Maintain confidentiality and integrity of HR records and communications in accordance with company policies and legal requirements.

  • Support other HR functions as needed, including benefits administration and employee engagement programs.


Qualifications:



  • Associate's degree or relevant certification in Human Resources or related field (Preferred).

  • Proven administrative or HR experience (Preferred)

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to handle sensitive and confidential information with discretion.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Familiarity with HRIS software and data entry practices.

  • Strong time management skills and ability to prioritize tasks in a fast-paced environment.

  • Ability to work collaboratively within a team and maintain positive relationships with colleagues.


Physical Demands:



  • Ability to sit and work at a desk for extended periods of time.

  • Regular use of a computer and other office equipment, which may require prolonged periods of typing or data entry.

  • Occasional lifting or carrying of office supplies, documents, or files up to 20 lbs.

  • Ability to communicate clearly and effectively, both in person and over the phone or email.

  • Ability to focus on tasks for extended periods, requiring good attention to detail.

  • Reasonable accommodations can be provided.


Environmental Demands:



  • Work is performed in a standard office environment with office furniture, lighting, and climate control (temperature may vary depending on the season).

  • Moderate noise levels from phones, and office equipment.

  • The position may require sitting for long periods at a desk.

  • Daily use of computers, printers, scanners, and phones to complete tasks efficiently.
