Senior Project Coordinator DEA is seeking a highly organized and experienced Senior Project Coordinator to join our team in Seattle, Washington. This full-time role will support our ongoing work with a local transit agency and will be based in our Seattle office while also working on-site at a local client office at least three days per week. As a Senior Project Coordinator, you will play a crucial role in managing project-specific tasks within a dynamic and fast-paced professional planning and engineering environment. Working under the supervision of an experienced project manager, you will be responsible for ensuring smooth project operations, maintaining project documentation, and facilitating communication among stakeholders. Key Responsibilities: * Prepare and manage project contracts, set-ups, and change orders. * Establish and maintain project folders and files. * Draft and oversee subconsultant agreements and task orders. * Review and process project invoices, progress reports, and subconsultant invoices. * Coordinate and schedule project meetings, including preparation of agendas and meeting minutes. * Serve as a key point of contact, corresponding with clients and subconsultants. * Format and conduct quality reviews of reports, letters, memos, and meeting notes. * Organize and manage project budgets while ensuring compliance with financial objectives. * Coordinate the production and distribution of project deliverables to the client. * Provide backup support for other administrative staff as needed. * Oversee specific project tasks, maintaining schedules, budgets, and quality standards. * Ensure client satisfaction through effective communication and timely delivery of project results. * Support project closeouts, invoicing, accounts receivable, and contract management. * Manage subconsultants and oversee project financials, including forecasting and write-offs. Qualifications & Experience: * Minimum of two years of experience in office administration and project coordination. * Strong organizational and multitasking abilities to prioritize competing tasks in a fast-paced environment. * Excellent written and verbal communication skills. * Experience tracking and coordinating deliverables and reviews. * Organizational skills to coordinate and manage meetings for internal and external stakeholders. * Experience in customer service and /or quality control. * Familiarity with project contracts, invoicing, and general accounting practices (AP/AR). * Experience managing documents in SharePoint and version control management. * Competency in Microsoft Outlook, Word, PowerPoint, and Excel. * Willingness to work occasional evenings and weekends, as well as attend public and client-sponsored events. Preferred Qualifications: * Previous experience in the public sector related to planning, architecture, or engineering. * Experience in developing work plans, schedules, and budgets. * Bachelor's degree in business, graphic design, industrial design, marketing, or a related field or associates degree or completed certificate program in planning, architecture, engineering or a related field. * Advanced proficiency in Microsoft Outlook, Word, and Excel. * Additional software skills in SharePoint, Access, PowerPoint, MS Project, Windows Explorer, Adobe Acrobat, BlueBeam, or similar programs. * Passion for transit improvement and community development.
