Job Description

The Software Asset Manager is a key role responsible for managing BOK Financial's software licensing. This individual is part of an IT Asset Management team and collaborates with professionals across multiple departments to efficiently manage the bank's software resources. The Software Asset Manager operates in a highly collaborative, cross-organizational team environment to manage software resources. They are responsible for assessing software license availability for various titles throughout the enterprise to economically meet business requirements. This role acts as the leading expert on software licensing terms and assists with software requests, approvals, purchasing, receipt, installation, analysis, reporting, auditing, reclamation, and retirement of entitlements. The Software Asset Manager frequently interfaces with software providers, auditors, leaders, and peers throughout the organization. This professional also recommends and implements software asset management processes, policies, and procedures designed to meet regulatory, operational, audit, and reporting requirements.

How You'll Spend Your Time
  • You will manage the entire lifecycle of software assets from procurement to retirement, ensuring compliance and optimizing usage.
  • You will ensure compliance with software licensing agreements, track licenses, manage renewals, and avoid overspending.
  • You will maintain an up-to-date inventory of software assets, tracking installations, usage, and entitlements via ServiceNow.
  • You will support audits by providing accurate information on software assets, ensuring regulatory compliance.
  • You will identify opportunities to optimize software costs through effective license management and vendor negotiations.
  • You will develop and enforce software asset management policies and procedures to ensure consistent practices.
Education & Experience Requirements

This level of knowledge is normally acquired through completion of a bachelor's degree and or 8-10 years' experience in an ITAM, SAM, or Configuration Management role, designing, managing, and implementing at an enterprise level.

  • Advanced Knowledge and Experience with ITAM Technologies: Proficient in IT Asset Management (ITAM) technologies, including ServiceNow or similar Configuration Management Database (CMDB) tools, IBM's BigFix/ILMT.
  • Demonstrated Experience in SAM Program Management: Proven track record in managing and implementing Software Asset Management (SAM) programs at an enterprise level.
  • Excellent Understanding of Licensing Types and Methodologies: In-depth knowledge of various software licensing types, methodologies, metrics, and reporting. This includes understanding multiple commercial software licensing models, maintenance categories, and usage rights for publishers such as Microsoft, Oracle, IBM, Adobe, VMware, RedHat, and others.
  • Experience Managing Software Vendor/Regulatory Audits: Extensive experience in managing software vendor and regulatory audits.
  • Deep Understanding of ITSM, ITAM, and SAM Methodologies: Comprehensive knowledge of IT Service Management (ITSM), IT Asset Management (ITAM), and Software Asset Management (SAM) methodologies.
  • Understanding of Software Contracts and Entitlements: Demonstrates a thorough understanding of the complexities associated with software contracts and entitlements.
  • Familiarity with Industry Best Practices and Standards: Well-versed in industry best practices and Asset Management standards, such as ISO 19770.
  • Working Knowledge of Banking Systems and Business Practices: Possesses a solid understanding of banking systems and business practices.
  • Excellent Communication and Interpersonal Skills: Outstanding communication and interpersonal skills necessary to confer with executive management, stakeholders, and team members.
  • Excellent Problem-Solving Skills: Demonstrates excellent problem-solving skills, particularly in addressing complex issues related to software asset management.
  • Ability to Organize Workflow and Process Improvement: Strong organizational skills, with the ability to manage workflow and implement process improvements to ensure numerous critical deadlines are met daily.
