Description

Responsible for the operation of the Laker Nest, Bookstore, and Course Material Program. Supervision of the associated staff and software management. Continuous review of the bookstore capabilities and aligning those capabilities with the strategic direction of the College. Lead the research that will determine the strategic development of the college's plan regarding the growth, training, and implementation of digital course materials and ensuring the college remains current with industry trends while maintaining affordability for students.


Description of Essential Functions (critical tasks)

Essential Job Functions:

  1. Manage the course material program for all on-campus, dual credit, extension center, and online courses, including working closely with faculty on course material options and modalities and maintaining and researching industry standards.
  2. Manage and lead the research regarding course materials at the college and ensure the college's course material program is meeting the needs of the students, faculty, and the college community while remaining current with industry trends. This may include, but is not limited to, increasing digital course materials, training and collaboration with faculty, and working with unique programs to ensure all parties have the course materials in the modalities that best serve them, the program, and the strategic mission of the college.
  3. Supervise and oversee sales promotion activities, preparing merchandise displays and advertising; supervise cap and gown ordering activities, resolve customer concerns and inquiries; and calculate and order textbooks, workbooks, supplies, and general merchandise needs to meet the requirements and needs of the college.
  4. Prepare and regularly monitor the annual and monthly budget for textbook library, bookstore, and food services, and inventories within responsible functional areas.
  5. Manage and utilize bookstore administrative software, registers and ID equipment.
  6. Manage and execute third-party and departmental billing, such as external vouchers, department charges, and various forms of financial aid.
  7. Coordinate, manage, and process master course material files and book replacement requests from faculty; load associated file each semester to create and generate the student booklist.
  8. Supervise and process various reports within bookstore software, load update and pricing guides, and manage support tickets submitted to the software vendor.
  9. Oversee activating and inactivating customer and student accounts, test accounts, and purging information at the end of each semester and rental period.
  10. Process month end tasks each month and ensure a balanced accounting month; prepare reports for the accounting department.
  11. Oversee closing of unreturned and damaged textbook rentals.
  12. Prepare reports for ISS and accounting office for charges and blocks to be added to student accounts at the end of each semester and rental term.
  13. Manage and maintain digital course materials used each semester, including creating a shared tracking spreadsheet, sending documentation to students and faculty, process billing, coordinate with the digital provider vendor, and provide support to faculty and students as needed.
  14. Oversee dual credit and extension center deliveries.
  15. Oversee the opening and closing process of the store.
  16. Oversee staff in processing transactions and troubleshooting issues at the registers and other store equipment.
  17. Manage and perform annual store inventory, research discrepancies, and work with auditors on inventory reporting.
  18. Coordinate and supervise various forms of media used to interact with and inform students and customers in the promotion of the Laker Nest Bookstore; this includes communication with students regarding course materials and all customers regarding merchandise and promotions.
  19. Oversee student kit assembly and manage component ordering.
  20. Manage and maintain the bookstore webpage updates.
  21. Oversee the hiring, supervising, and training of rush staff; manage the hiring, supervising, evaluation, and training for full time staff.
  22. Supervise and oversee vending and dining service vendors, including but not limited to: food court, vending operations, catering services, and any future additions to the college relating to vending and dining services.
  23. Oversee the local records act liaison and provide support and assistance with the records disposal process.
  24. Participate in college committees, task forces, and teams as needed and required by the position.
  25. Other duties as assigned.


Specific Functional Job Requirements

Education Requirements:

  • Bachelor's Degree required, prefer business related field

Experience Requirements:
    Retail experience, merchandise promotion, data management, organization/planning and customer service

Knowledge:
    Overall working knowledge of the business operations of a community college and Business etiquette and general office procedures.

Skills:
    Understanding and skill in working with Microsoft office software package with ability to learn bookstore administrative software

Personal Requirements:
    Ability to maintain positive relationships with customers and the college community. Excellent interpersonal, oral and written communication and organizational skills. Detail-oriented, self-starter who enjoys relating to a diverse population of students, staff and public in a fast-paced work environment with multiple interruptions. Works consistently to further the college's vision and values. Work collaboratively with immediate peers and other departmental areas to support student learning and development.
