Director of Operations- Commerical Real Estate Experience Required

We are seeking a Director of Operations to lead and optimize our business functions, ensuring efficiency, compliance, and growth. This role is ideal for a strategic and results-driven leader who thrives in a fast-paced environment, excels at problem-solving, and is committed to fostering a culture of excellence and collaboration.

Key Responsibilities:
  • Oversee daily operations to ensure business efficiency and compliance with company policies and industry regulations.
  • Work closely with the CEO to provide strategic insights and operational updates on key business matters.
  • Ensure compliance with Arizona Department of Real Estate (AZDRE) requirements and maintain adherence to legal and ethical standards.
  • Manage and enhance business workflows, agent training, and client engagement processes to optimize performance.
  • Oversee and coordinate recruitment efforts, leading the hiring, onboarding, and development of real estate agents and brokers.
  • Drive agent retention by fostering a culture of collaboration, support, and continuous growth.
  • Manage transaction processes, ensuring compliance and resolving escalated issues related to broker disputes, client concerns, and contract negotiations.
  • Oversee errors & omissions insurance submissions and ensure risk management protocols are followed.
  • Stay informed on industry trends, technology, and market conditions, collaborating with marketing and education teams to provide relevant insights and training.
  • Optimize the use of CRM systems, oversee data management, and lead training sessions for brokers when necessary.
  • Manage and strengthen relationships with industry partners such as Costar, LoopNet, and Crexi, ensuring adherence to policies and ethical standards.
  • Lead weekly team meetings and monthly broker meetings, driving alignment on business goals and operational improvements.
  • Handle IT and technical support challenges, ensuring smooth operations within Office 365 and other business systems.
  • Oversee the management of tenant and conference room scheduling at company facilities.
Qualifications:
  • 7+ years of experience in operations management, preferably in real estate or a related industry.
  • Proven leadership experience, including managing teams, driving business initiatives, and optimizing operational processes.
  • Strong understanding of real estate laws, contracts, and industry compliance.
  • Exceptional problem-solving and decision-making skills with a proactive, solution-oriented approach.
  • Ability to build and maintain relationships with agents, clients, and industry partners.
  • Strong technical proficiency, including experience with CRM systems, Office 365, and other operational tools.
  • A servant leadership mindset, with a passion for mentoring and empowering others.
  • High level of integrity, professionalism, and discretion in handling sensitive business matters.
Salary: $100,000

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;
  • other business and organizational needs.

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
