Georgia State University's Human Capital Management & Employee Records department is looking for a Records Management Supervisor to join our team. Human Capital Management & Employee Records department oversees "onboarding" of all new hires, including staff, faculty, graduate and undergraduate student employees. Manages access to OneUSG Connect, the employee portal of the USG. Establishes and updates personnel records and verifies GSU employment history.

WHAT WILL YOU DO:

The Records Management Supervisor will be responsible for maintaining all digital and non-digital personnel records. They will respond to requests for production of documents, Open Records Act requests, requests to review personnel files, and similar. The records supervisor will ensure that records are maintained in accordance with the USG Records Retention Polices. They will also ensure that there are files for all active, terminated and retired employees in accordance with retention policies. Once hired, the Records Management Supervisor will supervise the records coordinators and/or temporary workers. The supervisor will have the autonomy to set up the file room in a manner they deem as most efficient, while developing the process by which personnel files are viewed and retrieved maintaining them in accordance with State retention guidelines. They will be a part of the HCM leadership team and will support the mission of the unit as needed.

DUTIES AND RESPONSIBILITIES INCLUDE:



  • Ensures that the Records Coordinators and/or temporary file clerks file, scan, create and archive personnel files.
  • Audit the file room to ensure there are no missing files, create a process for checking out files.
  • Respond to requests for production of documents, subpoenas, open records requests, employment verifications, personnel file review requests.
  • Verifies that documents have been properly scanned and filed electronically or in paper files by the Records Coordinators/File Clerks
  • Ensures that the file room is clean and organized by directing the work of Records Coordinators and/or Temporary file clerks.

Qualifications :

Minimum Requirements:



  • High school diploma or GED and four years of related experience; or a combination of education and experience.


Preferred Requirements:



  • A minimum of 3 years of supervisory experience.
  • Previous experience in a high-volume file room.
  • Previous experience with electronic filing system.
  • Previous government or higher education experience.
