The Proposal Specialist is a key contributor to the commercial organization who will work closely with a cross-functional team to support the regional RFP process. The primary purpose of the role is to support AGFA HealthCare's team in responding to RFP's using an RFP database, product knowledge, dividing and coordinating the work products of others, and ensuring proposals represent Agfa HealthCare's unique value to potential customers and industry consultants,

The ideal candidate will have excellent verbal, organizational, time management, technical and written skills to ensure quality proposals are delivered on time and clearly articulate the value of the Agfa HealthCare solution.

The candidate must be a self-starter who is extremely detail-oriented and strives for zero tolerance in meeting quality objectives and deadlines. Strong interpersonal skills are required to coordinate the efforts of numerous people to the end goal of a perfectly executed proposal. Responsibilities include the physical assembly of softcopy and/or hardcopy proposal submissions through aggregating a variety of materials and maintaining AGFA HealthCare's RFP database.

Job Duities & Accountabilities:




  • Provide support to the sales and marketing process by leveraging firm-wide resources to respond to formal requests for proposal (RFPs) and related requests for information (RFIs). This role will provide an opportunity to interface with experts across all areas of the firm, as well as provide exposure to the full span of products and services offered.
  • Manage the proposal process stage from initial review, assembling a cross-functional team, drafting proposal documents, graphics, and production of the proposal documents
  • Support maintenance of an RFP answer database with a cross-functional team of experts
  • Participate in the development of RFP templates and sample RFPs
  • Maintain a tracking system and Win/Loss database
  • Support maintenance of regional RFP process and materials
  • Work to further streamline RFP process, continually improving the researching of responses, the readability and messaging of library content, ensuring most current information is used, acquiring and maintaining supporting data, and working with a cross-functional team to validate responses and add to the RFP answer database.
  • Ensure consistency of look and feel of RFPs relative to AGFA HealthCare's branded style template
  • Manage multiple projects consistently with prompt follow-through in a deadline-driven environment
  • Provide submittal files electronically as required and/or assemble hardcopies and prepare for shipment
  • Work with various departments internally to coordinate information required for RFP response: Marketing, Finance, Legal, Professional Services, Information Technology, Security, etc.
  • Coordinate signatures, obtaining notarial services when required
  • Improve the aesthetic appeal and branding of proposals where appropriate, and in line with branding guidelines set forth by the Marketing team
  • Wordsmith library content and proposal responses to ensure a proposal has 'one voice'.
  • Perform other duties as assigned by management.



Education:




  • Bachelor's or Master's degree in a relevant discipline or equivalent experience.



Experience:


  • Must have ability to manage multiple projects and adhere to tight deadlines with a strong attention to detail
  • Proficiency in Microsoft Outlook, Excel, Word, PowerPoint; Graphics capabilities and an eye for detail are critical
  • Must possess strong writing and conceptual thinking skills. Must be able to foster productive working relationships with internal groups
  • Team player and team builder; experience leading matrixed teams is a plus


  • Healthcare and Medical Imaging experience is a plus
  • Experience in maintaining an RFP data response repository a plus.

  • Maintain our image and positioning in the marketplace through development and maintenance of RFP responses and relevant data in internal and external databases.
  • Work with regional sales team to understand prospect and client needs to create customized RFP responses that highlight Agfa HealthCare's strategic and competitive advantage.
  • Foster strong relationships with internal subject matter experts with particular attention to developing product knowledge.
  • Take ownership of assigned RFPs from start to finish.
