ABOUT THE ROLE
The successful candidate will be an integral part of our Chicago, IL office, partnering closely with office leadership and staff on the day-to-day operations of the office.
HERE'S WHAT YOU'LL DO

  • Responsible for managing day to day office administration operations, working closely with Director of Business Practices.
  • Responsibilities may include, but are not limited to, supervising, coordinating workload, assigning tasks, and managing performance of support staff; managing office administration and procedures to ensure effectiveness, efficiency and safety.
  • Oversee property management issues; manage relationships with vendors and service providers, including building maintenance, ensuring that all items are invoiced and paid on time.
  • Negotiate purchase of furniture, office, equipment, etc. for the office in accordance with company practices.
  • Coordinate with IT department on all office equipment.
  • Communicate and implement office practices in conjunction with office leadership.
  • Provide a high level of administrative support to assigned leadership executives. Provide administrative support within the office as required. Provide general support to visitors.
  • Assist in the completion of expense reports and timesheets for assigned executives.
  • Responsible for coordination with leasing office, deliveries, events in CannonDesign spaces, building service requests, building access keys, security access, equipment maintenance, etc.
  • Manage office budgets in partnership with Director of Business Practices.
  • Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise.
  • Supervise, coordinate workload, assign tasks and manage performance of Administrative Support and General Services staff within the office.
  • Work with the firm's travel agency to make travel arrangements.
  • Plan, coordinate and execute events, act as primary interface with interoffice meeting / event coordination.
  • May arrange for off-site meeting space.
  • Manage caterer and restaurant house accounts.
  • Monitor and maintain office supply inventory.
  • Purchase office related items via firms purchasing software and practices.
  • Maintain petty cash.
  • Communicate effectively with executive leaders on administrative matters.
  • Manage confidential information with discretion.
  • Perform other duties as required.

HERE'S WHAT YOU'LL NEED


  • Minimum of 8 years of relevant experience required.


  • Prior supervisory experience required.


  • High school diploma or GED required. Associates degree preferred.


  • Experience working in a professional services firm preferred.


  • Exceptional time management, problem solving and organizational skills with the ability to multitask, maintain and prioritize deadlines.


  • Strong communication skills with the ability to work effectively with individuals at all levels, internally and externally, is essential.


  • Comfortable with fast-paced environment.


  • Proficiency in Microsoft Office Suite required.


The salary range for this position to be filled in the Chicago, IL office is $59,900 to $74,900 annually. This salary range is the range we believe is the anticipated range of possible base compensation at the timing of the posting. We may ultimately pay more or less than the anticipated salary range for the position. Employees may be eligible for discretionary bonuses. We offer a full benefit package including medical, dental and vision coverage and flexible spending account options and voluntary insurances.
