Job Summary

Loudoun County's Department of Parks, Recreation, and Community Services is in search of qualified individuals to fill the role of Office Manager at the Administration Office. This role will be responsible for supervising the front-counter customer service team, necessitating proven expertise and understanding in delivering customer service and handling phone inquiries for both internal and external clients. Additionally, the individual will offer support coverage as needed.
We're hiring for the following location(s): * PRCS, 742 Miller Drive SE, Leesburg, VA
Responsibilities include, but are not limited to: * Responsible for managing telephone communications within the office. Supervises and administers all functions of the multi-line telephone system, including monitoring incoming calls and generating reports. * Completes safety checks of the facility, including conducting annual fire drills. Point of Contact for PRCS vehicles that are loaned out. Completes work orders for maintenance and repairs, including POC to meet with the General Services Department, janitorial contractor, electric & security camera vendors, and pest management contractors when in the building. * Manages the operations of conference rooms and shared facilities. This position involves supervising reservations, coordinating setups, and monitoring the use of conference rooms, as well as ensuring that common areas are adequately maintained for visitors. Moreover, it is responsible for maintaining the overall organization of the building and keeping staff informed about any changes in policies. * Monitor Office Equipment (Ensure all equipment is operational; arrange for regular service and/or repairs; place facility work orders.) * Manage Inventory of County cell and iPad Devices. Check the monthly cell phone bill before the invoice is paid. * Orders office supplies through a Procurement Card (Process credit card payments, conduct Pcard reconciliations, maintain credit card records.) * Additional critical job responsibilities may be undertaken that are specific to the role and departmental assignment.

Minimum Qualifications
-
High School diploma or equivalent and four (4) years of related work experience; or equivalent combination of education and experience.
Preferred Qualifications: * Demonstrated skills in Microsoft 365 applications (Outlook, Excel, Word, Teams and SharePoint) * Two (2) years in a supervisory role. * Bilingual in Spanish is preferred.
