SUMMARY:

Under the direction of management, responsible for managing the administrative and operational areas of the Investment Services Advisory Department. The Administrative Officer will coach and manage the Investment Services Representative(s). Provide direct customer service, promote long term customer relationships, and coordinate with other areas of the bank.

ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES:



  1. Manage the Investment Services Representative(s) to ensure consistency in processes, procedures and operations throughout the department.
  2. Responsible for coordinating with Infinex Investments all compliance related items for the department. Coordinate Audits with Bank personnel and Infinex.
  3. Responsible for coordinating training of new Investment Services Officers and Investment Services Representatives.
  4. Work closely with Osaic to find efficient and cost-effective ways to improve operations.
  5. Work as a liaison between all employees in the department and IT at CC5 and Osaic.
  6. Set up model portfolios.
  7. Responsible for referral tracking and reporting.
  8. Responsible for opening new Asset Allocation/Fee Base product.
  9. Coordinate and schedule vacation coverage throughout the department.
  10. Process new business for Investment Officer.
  11. Responsible for trading as needed.
  12. Handle client service calls as needed.
  13. Work with Investment Services Representatives to solve complex customer issues.
  14. Centralize all files.
  15. Monthly training sessions with Investment Services Representatives.
  16. Participate and coordinate monthly sales meetings.
  17. Process and monitor Annuity purchases.
  18. Maintain various regular reports, such as money line positions, monthly trade report, check deposit blotter and securities received blotter.
  19. Mail financial check up cards to all Osaic and direct clients.
  20. Maintain current prospectus for mutual funds and annuities.
  21. Presents and reports information regarding department revenue and updates for Bank executives including Non-deposit Investment Product Meeting.
  22. Organize monthly meetings including scheduling, preparing materials and creating agendas.


QUALIFICATIONS:

EDUCATION & CERTIFICATIONS: (Minimum education required to perform the duties of this position)



  • Bachelor's Degree in business or economics or equivalent.
  • Registration required Series 7, 24, 63, 65. Life Accident and Health License.


KNOWLEDGE, SKILLS & ABILITIES:



  • Minimum of three years in investment industry.
  • Thorough knowledge of laws and regulations related to investment industry.
  • Proven track record of working with highly confidential customer data.
  • Ability to manage multiple priorities, meet deadlines.
  • Ability to work collaboratively with peers and management.
  • Prior management experience
  • Excellent communication skills, including the ability to present to executive committees and convey investment information to clients
  • Excellent customer service skills.
  • Familiar with Bank and Osaic computer systems and programs.


COMPETENCIES:



  • Must have cyber security awareness to protect the digital environment, the Bank, and customers.


PHYSICAL DEMANDS: (Physical effort generally associated with positions)

Normal Physical Capabilities:

Incumbents must be able to perform the following activities frequently or continuously throughout the workday as appropriate to the position: travel throughout the Bank's primary and secondary market areas (which are beyond Cape Cod), bend, carry (one and two hands), collate papers, dial a phone, file records, hear at normal speaking levels, hold items with hands, lift up to 25 lbs., move throughout building, operate office equipment (fax, copier, phone, computer, etc.), computer input for extended periods of time, read English, see well enough to scan documents with detail, sit for up to two hours at a time, stand for short periods of time, speak on the telephone and in person, write with hand, and work at the Bank's facilities.

WORKING CONDITIONS: (Typical working conditions with this type of work and environmental hazards, if any, that may be encountered in performing the duties of this position.)

Internal -- work is normally performed in climate controlled office environment, where exposure to conditions of extreme heat/cold, poor ventilation, fumes and gases is very limited. Noise level is moderate and includes sounds of normal office equipment (computers, telephones, etc). No known environmental hazards are encountered in normal performance of duties. Length of day is unpredictable; long hours may be required to accommodate deadlines or special meetings.

External -- Some travel to remote Bank locations will be required; this will include some overnight travel, not to exceed 5%. Environmental conditions are regular office and branch locations of the Bank.
