JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Smeal College of Business is seeking a Student Services Assistant to provide comprehensive administrative functions and student support across six professional graduate programs.

This position works primarily with the Student Success Team but will also collaborate with other teams in the Smeal Professional Graduate Programs (PGP) department (e.g., Career Services and Admissions) and other departments on campus to ensure the smooth operation of student-related services and programming.

The Student Services Assistant will work both independently and collaboratively in a fast-paced environment, utilizing organization and multi-tasking skills, to complete this position's responsibilities, which include but are not limited to:

  • Provide front-line support to students by answering inquiries (including via Microsoft Outlook for email and Microsoft Teams for phone calls), offering guidance, and directing students to appropriate resources and services

  • Support the daily operation of a student services office; provide information and direction to students, families, and visitors regarding services; and schedule appointments

  • Assist faculty in scheduling classrooms; create and maintain an academic faculty calendar for each graduate program

  • Facilitate, coordinate, and assist with the planning of events and programs; organize event logistics including presenters, itineraries, and communication plans; serve as a point of contact with vendors and event partners; coordinate with leadership to establish and assess event goals; assist with developing strategies to ensure event success

  • Update and maintain student records including case files, and student data; receive, process, and ensure confidentiality of sensitive information and materials

  • Manage scheduling activities of a student program or office using the appropriate appointment, registration, or reservation system

  • Create, compile, and deliver communications for student audiences in the form of newsletters, web content, letters, and information sessions

  • Oversee, train, and provide direction to student staff; scheduling and performance management activities; delegate tasks; and ensure efficient workflows

  • Assist in evaluating the success and effectiveness of services (e.g., creating and distributing program surveys); recommend solutions to improve programming

The primary events the Student Services Assistant will be coordinating include award ceremonies, workshops, career fairs, orientation programs, and the PGP Master's graduation celebration.

The Student Services Assistant will work with various software, including Microsoft Office 365 and 25Live (scheduling platform), as well as the following which are specific to Penn State:

  • LionPATH (Penn State's student information system)

  • Graduate Request Management System (ticketing system)

Education and Experience: This position will be filled at the level of Senior Support, which requires a minimum of an Associate degree plus four years of relevant experience, or an equivalent combination of education and experience.

Candidates must also have experience with creating, updating, and maintaining spreadsheets in Microsoft Excel (or similar software); data entry; and calendar scheduling.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
