Inventory Specialist - Safety & Facilities

Job Description

Responsible for direct and indirect parts and materials inventory, including planning, procurement, inventory, and payment. Provide support to safety, maintenance, and production. Work effectively as part of a team and display a positive attitude.

Essential Duties and Responsibilities:

Safety

  • Conduct routine regulatory-required equipment inspections (i.e., ladders, hoists, slings, powered industrial trucks, extinguishers, emergency lights, fire doors, laboratory hoods, etc.).
  • Assist with Safety Audit scheduling and tracking.
  • Assist with Safety Committee activities.
  • Assist with management of Contractor Safety Program.
  • Administrator of Hazardous Waste Management Fax Back System
  • Other safety duties as assigned.

Inventory Control

  • Maintain physical and electronic copy of maintenance and safety-related parts inventory to assure stocking levels are sufficient to meet maintenance and production demands.
  • Maintain product stock for timely procurement and acquisition of parts needed for maintenance activities.
  • Conduct or supervise audits of facility inventory on a scheduled basis.
  • Develop and implement innovative methods to dispose of dead or obsolete inventory items.
  • Solicit quotes, place orders, prepare invoices for payment, and ensure proper coding in accordance with company policies.
  • Coordinate parts and material acquisitions for planned work.
  • Other inventory control duties as assigned.

Facility Maintenance

  • Coordinate the Preventive Maintenance program through current work order system COGZ as it evolves to cloud-based system IFS Enter, manipulate, analyze, and extract data using a computer program IFS.
  • Balance preventive maintenance work schedules while providing timely customer service on reactive work orders within the facility.
  • Track all phases of the maintenance work order process.
  • Assist with preparing schedules, maintaining shop floor process, P.O. generation and receipts, inventory counting, and other related support activities.
  • Plan, organize and schedule workflow including corrective, preventive, and predictive maintenance work, project support and normal operations tasks to meet priority demands, and long and short-term projects.
  • Assist in establishing time standards for work performed, as needed.
  • Progresses the Work Orders through the proper status according to the workflows and practices.
  • Responsible for the scheduling and coordinating corrective maintenance, and necessary resources for manufacturing process equipment.
  • Partners with Operations Department Planners to ensure all schedules and activities can be met. Work effectively and efficiently with cross-functional teams, including those from Purchasing, Planning and the Warehouse.
  • Determines the scope of the work requests including clarification of the originator's intent and assigning appropriate priority to facilitate effective deployment of resources.
  • Follow-up, problem-solve, trouble-shoot processes, communicating scheduling information and status of maintenance work issues with maintenance staff and other departments management.
  • Determine work plans based upon site-wide, priority, available work force, and other criteria, review plans and schedules with associated management.
  • Monitor, track, review, and analyze open work orders and work order aging for assigned maintenance groups.
  • Provide work order performance data to maintenance team regularly.
  • Create weekly schedules of PM work orders in advance according to maintenance availability. Provide tentative monthly and yearly schedule on request as needed.
  • Coordinate with vendor contractors for scheduling corrective and preventive work. Document vendor reports to the respective work orders.
  • Develop and maintain standard workflow processes.

Education and Experience:

  • High School Diploma or equivalent
  • Intermediate Microsoft Word, Excel, and Outlook experience.
  • Ability to communicate regularly professionally and effectively with customers both internally (all administrative offices) contractors and vendors.
  • Proven ability to work effectively in a team environment with little direct supervision.
  • Problem solving and analytical ability, superior organizational skills, accuracy and attention to detail, strong project management and multi-tasking skills.
  • Effective listening, verbal, and written communication skills
