Job Summary:

The Facility Coordinator maintains the corporate facility's building structures and systems. This individual plays a vital role in maintaining the safety of the building.

Supervisory Responsibilities:

None

Duties/Responsibilities:



  • Assist Facility Manager in maintaining facilities including but not limited to updating seating charts, office signage, maintaining meeting and breakrooms, and HVAC controls administration.
  • Handle mail processing, order and maintain office supply inventory, and maintain good relationships with vendors.
  • Prepare purchase requisitions, payment approvals and invoice review
  • Coordinate food orders for various events.
  • Maintain office supplies.
  • Administer and provide reporting on access control system including maintaining office keying system.
  • Security system monitoring and safety coordination.
  • Coordinate offsite storage administration.
  • Maintain quarterly building inspection logs.
  • Run, deliver, and analyze various facilities-related reports and metrics.
  • Light duty office work includes but is not limited to hanging items on the walls, moving furniture, adjusting vents, and working with the HVAC control systems.
  • Travel to other offices (San Diego and Milpitas) for periodic inspections.
  • Coordinate vendor needs when handling special projects.
  • Must be available to stay onsite when anticipating and handling an emergency response.
  • Provide support to other departments as required.

  • Proficiency with Microsoft Office
  • Familiarity with NetSuite
  • Understanding of Building Operating Systems
  • Willingness and ability to handle emergency calls 24/7
  • Must be self-motivated, flexible, and energetic, ready to change gears quickly
  • Strong analytical, diagnostic, and problem-solving skills
  • Ability to motivate and lead teams to achieve objectives and service levels to the highest standards
  • Excellent planning and decision-making skills


Education, Experience, and Licenses/Certifications:



  • High School diploma or GED-equivalent
  • Associate's degree preferred
  • 2-3 years of applicable experience preferred


Physical Requirements:



  • Willingness and ability to travel as needed
  • Willingness and ability to work after regularly scheduled hours as needed
  • Ability to sit at a desk for prolonged periods working on a computer (4 to 8 hours)
  • Ability to operate the equipment used for the job

  • Ability to perform tasks that require standing, walking, and climbing ladders
  • Ability to lift 75 pounds at times
