Job Description

Dewberry is seeking a motivated and proactive Office Manager for its New York, NY office. The ideal candidate will be energetic, organized, and detail oriented. This individual will support the office and professional team of 90 engineers and planners. In addition to office management responsibilities, the Office Manager will collaborate closely with the Northeast Operations Manager. This role involves performing a variety of administrative and management functions in a fast-paced environment, often handling confidential information and relieving senior managers of designated administrative tasks.

The Office Manager will also supervise a receptionist and administrative assistant assigned to the New York office who will assist him/her with the Office Manager's duties.

Responsibilities

    Coordinate the calendar and travel plans of the Northeast Operations Manager and leadership team.
  • Schedule, coordinate and handle logistics for in-person and virtual Northeast Leader Meetings.
  • Create consolidated reports for the Northeast Unit Manager to be shared among the NE team and distributed to corporate headquarters.
  • File and archive both electronic and hard copy documents.
  • Support managers, as well as professional and technical staff.
  • Handle multiple projects concurrently.
  • Research and create presentations.
  • Create, edit and maintain forms, templates, reports, graphs, specifications, and letters in Microsoft office programs.
  • Handle NY office operations including processing work orders with building management, maintaining reproduction machines & other equipment, oversight on office supplies and upgrades, assisting senior staff with work space arrangements, etc.
  • Support onboarding of new staff
  • Handle sensitive information with complete discretion
  • Manage inventory of office equipment and supplies.
  • Respond to and communicate with clients, partners and senior staff via phone, email, letter, and in-person
  • Schedule food and beverage services to support meetings.
  • Recommend process improvements
  • Supervise the receptionist and administrative assistant who will assist in the execution of assigned duties.


Required Skills & Required Experience

  • High school diploma is required; Associates degree or equivalent experience preferred.
  • A minimum of 10 years of experience in a professional environment.
  • Understanding of engineering business preferred.
  • Must be proactive and take initiative.
  • Must be a forward thinker and can anticipate and accomplish tasks in a fast-paced environment.
  • Proficient in Microsoft Office Word, Excel, PowerPoint, Outlook and Teams.
  • Knowledge of Adobe Acrobat.
  • Ability to become proficient in company-based computer software programs and processes.
  • Strong interpersonal skills surrounding customer relations and supporting others are required.
  • Excellent written and oral communication skills.
  • Excellent time-management and organizational skills.
  • This position requires flexibility to respond to various tasks and changing demands.
  • The successful candidate will possess a positive attitude, strong work ethic, and a desire to learn and grow within the firm, and strong sense of professionalism.
  • Supervisory experience preferred.

Salary Range

The projected range for this position is $80,000 - $95,000 annually. Depending upon other factors, i.e., skills, experience, location, market conditions, the range may vary slightly. These ranges are for NY only.
