Position Summary:

Develops an efficient and effective approach to maintain daily workflow and assists with coordination of educating and preparing patients for the Child & Youth Center. The administrative aide is responsible for performing administrative duties in the clinic and supervision of clerical staff.

Duties & Responsibilities:
  • Provides administrative supervision of the daily activities of the unit, including management of projects, programs, staff and funds.
  • Monitors and ensures compliance with unit/department, university, and governmental policies.
  • Coordinates the preparation of and review of various administrative, personnel and patient needs, such as insurance information, collection of patient co-pays and reconciliation of deposits.
  • Identifies and implements staff training on various systems such as EMR training, co-pay collection training, and employee time keeping training.
  • Supervises front desk employees including assigning work and overseeing the training of new staff.
  • Monitors and adjusts patient flow. Analyzes weekly scheduled and provides enough staffing, serves as back up when needed.
  • Serves as a liaison between clinics and other constituencies and/or between different groups within the clinic (e.g., between a clinic director and clinic staff); provides information, assistance, and advice to patients.
  • Sends notes to outside providers, coordinates referrals, generates authorizations, and notifies patients of next day procedures.
  • Maintain HR/Payroll employee records including vacation, licensure/certification and work hours.
  • Establishes and maintains system of ordering, tracking and reporting all budgetary items, including oversight and review of complex documents.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:


1. High school graduation or equivalent

2. Any one or any combination totaling five (5) years (60 months) from the following categories:

A. college course work in business, finance, accounting or a related field:
  • 60 semester hours or an Associate's degree equals one (1) year (12 months)
  • 90 semester hours equals two (2) years (24 months)
  • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
  • Master's degree or higher equals four (4) years (48 months)

B. progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles
