Job Summary |
This position provides administrative support for the University Career Center, assisting students, staff, and faculty with general inquiries and career-related processes. Responsibilities include managing shared email inboxes, maintaining employee data in HR systems, and verifying student employment information.
Office hours: Monday - Friday, 8 a.m. - 5 p.m. (with a one-hour lunch). |
Minimum Education and Experience |
Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience. |
Preferred Education and Experience |
Bachelor's degree with two years of related experience in HR or a similar field.
Requires attention to detail, accuracy, while maintaining professional and effective communication. Must demonstrate a high level of integrity and professionalism when handling highly sensitive data and be proactive in identifying and resolving issues. Strong written and verbal communication skills are essential, including the ability to compose clear and professional email correspondence. |
Essential Duties and Responsibilities |
- Provide general administrative support for the office, including responding to general inquiries from students, staff, faculty, and other individuals.
- Monitor and respond to inquiries in the career center, student employment, and experiential learning shared email inboxes.
- Provide administrative support for student platforms (e.g., Handshake and others), including maintaining accounts and managing related tasks.
- Review and verify department information submitted in the ePAR system for accuracy.
- Assist with employment verification, including verifying student employment status, job details, and other related information.
- Review part-time, on-campus positions in Handshake to ensure compliance with established policies.
- Attend meetings and professional development opportunities to remain current on all UTD policies and procedures related to academic internships, transcription notations, international student eligibility, technology resources, etc.
- Assist with the onboarding process and other hiring procedures as needed.
- Provide administrative support for reviewing and approving internship experiences in Handshake and ORION platforms as needed.
- Other duties as assigned.

Remote Notice:
After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the
DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
