Job Title: Administrative Assistant - Reception

Salary: $45,000 - $55,000 annually
Exempt Status: This position is classified as non-exempt under Minnesota law, meaning it is subject to overtime and minimum wage requirements.
Job Summary: This position is responsible for overseeing and executing the day-to-day activities of the office and office staff, as well as to interact with all visitors and inquirers. This role requires strong interpersonal skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Key Responsibilities:
Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
Greet persons entering the establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
Administer the site contractor/visitor safety program.
Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.
Ensure sign-in sheets are accurate and coordinate emergency evacuation of office staff in the event of an emergency.
Monitor radio communication and use handheld radio for communication.
Hear complaints from customers or the public, direct to appropriate destination.
File and maintain records.
Transmit information or documents to customers, using computer, mail, or facsimile machine.
Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
Process and prepare memos, correspondence, travel vouchers, or other documents.
Qualifications:
Capable of handling multiple tasks while maintaining focus on deliverables.
Capacity to work autonomously with some direction.
Attention to detail and accuracy.
Team-oriented working attitude.
Good communication skills.
Strong customer orientation (service-minded).
Minimum High School Diploma or equivalent.
Associate degree or degree in progress or 1 year of related experience preferred.
Computer literate with excellent command of MS Office.
