Job Summary:

Professionals at the entry level are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. At the entry level, duties are limited in scope and are performed with guidance and direction from other professionals and are performed in a training and development capacity. In this role, you will be responsible for a variety of administrative and operational duties that support our faculty, staff, and departmental functions. The ideal candidate will have strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Key Responsibilities:
- Travel and Expense Reimbursement for Faculty: Process and manage travel and expense procurement and reimbursement submissions for faculty in accordance with department and University guidelines and timelines.
- Departmental Event and Meeting Planning: Assist in planning and executing departmental and program events and meetings, including logistics, scheduling, and day of coordination.
- Departmental Project Management: Support and assist with the management and execution of departmental projects, ensuring timelines and objectives are met.
- Maintenance of Clinical Schedules in QGenda: Ensure accurate clinical schedules are entered and maintained in Qgenda. Work with program assistants supporting providers to ensure timely and accurate updates are made.
- Call Schedule Creation and Maintenance via QGenda: Create call schedules, implement in QGenda, and ensure ongoing maintenance and updates as necessary.
- Faculty File Management: Support faculty affairs initiatives, including maintaining the faculty credentialing database and assisting with the timely renewal of licensing and hospital credentialing applications. Maintenance of faculty files and required documentation.
- Faculty and Staff Onboarding and Offboarding: Coordinate and manage the onboarding and offboarding processes for new and departing faculty and staff, ensuring smooth transitions.
- Medical Legal Coordination: Manage Medical Legal activities for the PM&R providers, including scheduling, invoicing, and communication to ensure timely and accurate processing.
- Reception for PM&R Administration: Provide reception duties for PM&R Administration, including answering and directing phone calls, managing email communications, and providing in-person reception when in the office.
- Cross-Training and Backup Support: Serve as a backup for other departmental business professionals, cross-training to provide support during peak times or absences.

Hybrid - this role is eligible for a hybrid schedule of # days per week on campus and as needed for in-person meetings.

Qualifications:
|
Minimum Qualifications:
- A bachelor's degree in business, business administration, education, healthcare administration, public administration, communications, or a directly related field from an accredited institution.
- 1 year of administrative professional experience in academic healthcare
- Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
Preferred Qualifications:
- 1 year experience providing administrative support for executive level role
- Office management experience in a medical setting
- 3+ years of administrative professional experience in academic healthcare
- Experience using Qgenda
Knowledge, Skills, and Abilities:
- Ability to communicate effectively, both in writing and orally.
- Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and in a team environment.
- Outstanding customer service skills.
- Demonstrated commitment and leadership ability to advance diversity and inclusion.

The starting salary range (or hiring range) for this position has been established as $49,97-$63,566 The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level. Your total compensation goes beyond the number on your paycheck.
