JOB SUMMARY

The Scheduling Technician reports to the Program Director. The position will be responsible to ensure service accessibility by scheduling of appointments with mental health providers.

ESSENTIAL JOB RESPONSIBILITIES



  1. Schedule Client appointments, including but not limited to clinical, rehabilitation and psychiatric appointments while maximizing resource utilization of schedule availability.
  2. Coordinates client scheduling via incoming and outgoing phone calls, instant message, emails and other means of communication delineating Client scheduling needs.
  3. Troubleshoot logistical appointment scheduling conflicts, identify and implement e-scheduling solutions and provide follow-up communication with Clients and/or designated Client Caregivers as appropriate.
  4. Assist with Confirming Client appointments using specialized software applications/programs
  5. Responsible for specialized and technical data entry tasks into the County EHR system.
  6. Utilize online, electronic information system to ensure adherence to internal process related to scheduling Psychiatric Evaluations and new Case Assignments.
  7. Provide support to clinical staff to help coordinate service delivery including but not limited to correspondence.
  8. Employees shall follow the reporting requirements for incidents of Child Abuse, Elder Abuse, Adult Abuse, Dependent Adult Abuse, and Tarasoff warnings per California reporting laws
  9. Maintains Client confidentiality; know and adhere to applicable HIPAA regulations.
  10. Will think and act quickly and efficiently in emergencies.
  11. Will drive on Agency business.
  12. Physical presence at the program is required.


ESSENTIAL JOB REQUIREMENTS



  1. Previous secretarial or clerical support work experience in medical and or behavioral health program(s).
  2. High school diploma or GED. Two (2) years of junior college with Business Administration/Secretarial major or completion of secretarial course in accredited business school or two (2) years clerical experience in a medical setting preferred.
  3. Exhibit strong organization skills and ability to muti-task independently
  4. Exhibit enthusiasm and a client-based service approach
  5. Ability to operate within Electronic Health Records (EHR) system.
  6. Intermediate computer skills in, Office 365, Teams, Zoom and other communication/meeting platforms.
  7. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  8. Ability to pass a criminal background check.
  9. Ability to pass a pre-employment drug screen and TB test.


ESSENTIAL JOB REQUIREMENTS FOR BILINGUAL SKILL



  1. Communicate effectively in written and spoken Spanish.
  2. Assist with phone calls for Spanish clients.
  3. Required to provide language translations for clinical providers on a periodic basis.
  4. Other translation tasks as needed.

    • Monolingual: Class 103 ($21.26/hour)
    • Bilingual: Class 108 ($21.48 - $22.34/hour)
