Your Role at Acousti
As a Secretary at Acousti, you will provide critical administrative support to ensure our office and field operations run smoothly. In this role, you will contribute directly to the success of our company by ensuring efficient operations and delivering high-quality results. You will work closely with our dynamic team and play a key part in supporting our day-to-day operations, ensuring our high standards are maintained.

Responsibilities
In this role, you will:



  • Coordinate and manage daily administrative tasks including answering phones, responding to emails, and greeting visitors
  • Organize and maintain project files, jobsite documentation, and subcontractor/vendor records
  • Assist with preparation of bids, proposals, contracts, and submittals for drywall and acoustical ceiling projects
  • Track material orders, delivery schedules, and project timelines
  • Support payroll by collecting and submitting weekly employee timesheets
  • Maintain and order office supplies, ensuring inventory is well-stocked
  • Collaborate with project managers and superintendents to support construction project needs
  • Help ensure compliance with company policies, safety standards, and local regulations


What We're Looking for in You
To succeed in this role, you should have:



  • 2+ years of administrative or office support experience (preferably in the construction industry)
  • Strong organizational and time-management skills with attention to detail
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to handle confidential information with discretion


Preferred Qualifications
In addition to the above, we would prefer candidates with:



  • Familiarity with construction terminology and document management
  • Experience supporting drywall or acoustical ceiling contractors
  • Bilingual in English and Spanish
