Job Description:

Summary

This position provides administrative support for the Senior Manager of Operations as well as overall site support to the entire Mount Holly Springs location.

Responsibilities

General Support:

  • Act as the point of contact for internal and external clients; provide general support to visitors.
  • Greet visitors and vet for US Person status as required.
  • Order supplies using purchasing card which may also include hospitality for customer meetings and various employee meetings.
  • Compose correspondence emails, memos, letters, etc. in a professional format.
  • Assemble materials for meetings as requested.
  • Keep reception/lobby area neat and uncluttered.
  • Occasional errands in the local area may be required.
  • Other tasks as assigned.

Operations/Quality Support:

  • Assist coordination of customer source inspections.
  • Support Quality with internal and external audit documentation and related corrective/preventive actions.
  • Assist Quality with traceability verification for space product orders.

Facilities Support:

  • Create employee badges, track visitor badges.
  • Assist with emergency evacuation procedure.
  • Monitor security cameras.
  • Assist with preparation of environmental compliance reports.
  • Assist with record updates for calibration and ESD testing.

HR Support:

  • Actively participate in the employee activities committee (MAC) and assist with site events.
  • Assist with onsite interviews including greeting candidates and occasional scheduling, as needed.

Requirements/Qualifications:

Required Qualifications

  • High school diploma and a minimum of 3 years of experience working as an Admin/Receptionist.
  • Effective verbal and written (English) communication skills, and excellent grammar, spelling and punctuation.
  • Must act in a professional manner at all times, especially when greeting visitors, management, and peers.
  • Solid experience using Microsoft Office (Word, Excel, PowerPoint), Microsoft Outlook (email and calendar), and scheduling meetings.
  • Good phone skills - must be personable and professional.
  • Excellent time management skills and the ability to prioritize work.
  • Ability and willingness to take on projects in an admin support capacity.
  • Must be a self-starter who can work with little to no guidance.
  • Must be a responsible person who can exercise the fiscal accountability of utilizing a purchasing card.
  • Must be punctual, attentive, organized, detail-oriented, focused, multi-tasker, and able to work as a team.
  • Must be able to handle information in a confidential manner.

Preferred Qualifications

  • Experience with ITAR and Visual Compliance.
