This position contributes to the success of Brookfield Zoo Chicago ("BZC") and its financial sustainability by assisting in the counting of funds generated by all Zoo operations in a timely and accurate manner with and assist Accounting Team with invoicing, cash receipts, and Accounts Payable.

This is a seasonal non-union hourly position, grade S009 with a pay rate of $19.85 per hour. PRIMARY JOB DUTIES AND RESPONSIBILITIES:

  1. *Responsible and accountable for all monies received, stored, and distributed to or by the Cash Control department. Under minimal supervision and following established procedures, open and close cash vault, monitor seasonal employee access to vault area and, in cooperation with Police department, ensure the security and accuracy of asset handling, security, and alarm systems. Investigate and report any significant discrepancies to the Zoo's Cash Control Manager and Police department immediately.
  2. *Prepare pre-counted cash bags for distribution to cash centers, and maintain daily inventory of bags distributed and returned. Count, verify and post to bank deposit total revenues on a daily basis. Review and verify reported balances, register tapes over/under ring sheets and inventory summary on a daily basis. Using appropriate and secure means, transfer receipts in a timely manner to bank for deposit. Using a computerized system, post verified receipts totals and admission levels to the revenue report. Generate required reports to provide daily, weekly, monthly, and yearly summaries.
  3. *Maintain cash vault with adequate supply of cash and change to meet operating needs. Balance vault daily. Draw upon or deposit to appropriate cash account, with Cash Control Manager approval, to maintain vault at adequate levels. Inventory and balance specific components of vault stock, including but not limited to, backup cash bags, no less than weekly.
  4. *Maintain facilities, supplies, and equipment in a secure and functional manner, including, but not limited to, machinery, adherence to regular maintenance schedules, in conformance with manufacturer's recommendations, establish long-term equipment requirements.
  5. *Assist with Web Sales Processing. Serve as backup for printing of Daily Web Sales reports from backstage and entering daily totals on Credit Card spreadsheet. Reconcile Web Sales backstage reports to bank daily. Investigate credit card problems. Verify refund requests to Merchant view. Process Internet credit card refunds. Assist with reconciliation of Web Sales spreadsheet to total credit card sales and preparation of Web Sales journal entry.
  6. *Assist with processing of purchase orders ("PO") including verifying transactions by comparing purchase order cost to invoice in preparation of timely payments.
  7. *Assist with accounts payable logging of received invoices for timely entry, including working with liaisons in various departments for timely PO creation and approvals. Review logged information so that information is correct and duplicates are removed.
  8. *Assist with vendor database review for outdated information. Recommend action to take including closing of vendor in the General Ledger ("G/L") and requesting proper documentation.
  9. *Assist with input of accounts receivable invoices from other Zoo departments
  10. *Gather documentation related to contribution deposits including working with development for signed agreements and letters.
  11. *Assist with month end close process as needed, including input of month-end journal entries.
  12. Other related duties as assigned.

POSITION REQUIREMENTS:



  • High school diploma or educational equivalent (e.g., GED.) required.
  • Some college with accounting coursework required.
  • Minimum 2 years' accounting experience with knowledge of account receivables and account payables.
  • Cash handling experience required.
  • Ability to maintain confidentiality of privileged information.
  • Strong mathematical skills.
  • Strong communication and interpersonal skills.
  • Eye for detail, completeness and accuracy.
  • Proven ability to follow up on open items.
  • Ability to meet deadlines.
  • Solid computer skills. Experience with Excel, Word, Outlook, and G/L entry required.
  • Cultural competency; experience and/or ability to work and interact effectively with a diverse, multicultural audience.
  • English fluency at a professional working proficiency.


DESIRABLE/PREFERRED QUALIFICATIONS:



  • Multilingual ability, Spanish fluency a plus.
  • Experience with Microsoft Dynamics NAV/Navision preferred.

Incumbent must acquire a strong, basic understanding of BZC rules and policies, departmental procedures and general information including, but not limited to, admission fees and schedules. Incumbent must be able to work evenings, weekends and holidays as needed. Work schedules are based on the needs of the operation.
