Position Description
Manages a section in a department that has institutional oversight. Plans, organizes and develops goals and procedures for the section. Represents the section to administrators, outside agencies and others on relevant matters. Supervises subordinate staff.
Major/Essential Functions
- Manages PA administrative staff and clinical team functions.
- Develop goals, policies and procedures for the PA program administrative practices unique to the Midland PA campus, including SimLife Center and Institute for Anatomical Sciences
- Principal administrative support to Program Director/Regional Dean.
- Serves as a liaison with the school, institution, and community.
- Manages program budget, both state and local, through regular reports to the program director. Approves expenses appropriately before encumbrance. Prepares budget reports for administration.
- Oversees reallocation and preparation of procurement card expense reports.
- Prepare purchase orders and direct payments according to TTUHSC and state policies and procedures.
- Responsible for inventory and departmental compliance reporting.
- Initiates and maintains faculty HPPIP contracts through the SHP administration and contracting system.
- Oversees the recording and archiving of reports, meeting minutes, committee minutes, and or other
administrative/accreditation documents.
- Processes all paperwork for hiring recurrent, overload, or honorarium faculty, including maintenance of Digital Measures. Serves as a resource for compliance with human resources required trainings.
- Monitors facilities to efficiently report problems and needs. Maintains staff schedule related to program and building hours. Maintains records for keys and badge readers.
- Oversee the planning and coordination of new student orientation, white coat ceremony, and other program special events.
- Serves as resource for administrative matters related to student society activities and student travel.
- Assist in coordinating meetings and events for the institution, school, department, and program as needed.
- Coordinating admissions interviews, student registration, orientation, and graduation activities.
- Improve and maintain professional knowledge by attending SHP staff development activities and workshops offered by human resources.
- Manage confidential faculty and student files.
Required Qualifications
Bachelor's degree required plus four years supervisory experience.
