SUMMARY

Provides general office support to 14 administrative staff of the Developmental Disabilities and Early Intervention programs. Responsibilities include typing, answering telephone calls, scheduling meetings, large mailings, copying and filing.

ESSENTIAL DUTIES AND RESPONSIBILITIES
-
* Complete intra-agency documents, responsible for information processing and storage, office correspondence for all staff in the form of letters, reports, creates files, budgets and special projects including the waiver re-certification notices, quarterly newsletters, annual plan. * Fully participates in weekly staff meetings by preparing and organizing list of priorities to be reviewed, taking notes from meeting and distributing to staff. * The OSP IV completes a wide variety of copying, faxing and e-mails and any follow up that is needed to disperse information to providers, families, State and County offices and Department staff. * Enters and updates consumer demographics in the DD Database. * Appropriately respond in a timely professional manner phone calls from all stakeholders. * The OSP IV coordinates and plans the annual award ceremony including booking the venue, ordering flowers and awards, printing and mailing invitations and receives and tracks all reservations and payments. * The OSP IV is a full participant in supporting an environment that encourages teamwork by assisting in the absence of the office receptionist or OSP and maintaining morale.*Work as a team to assure clerical efficiency by assisting other in completing typing/data entry and daily paperwork. *Other duties as delegated.

MUST MEET THE FOLLOWING CRITERIA:
- High School Diploma preferred.
- Basic computer skills including Microsoft Outlook, Microsoft Word and Internet Explorer.
- Ability to follow County policies and procedures.
- Ability to respect confidentiality and HIPPA requirements.
- Ability to ensure familiarity and compliance with relevant federal, state, and county regulations, policies and procedures.
- Reliable means of transportation to get to work.
