STATUS: Non-exempt, regular full-time, 40 hours per week
DEPT/LOCATION: Technology - Fresno, CA

Job Summary and Scope of Responsibility: Maintain the Bank's Electronic Content Management (ECM) process and system to retain the accuracy and integrity of documents converted to electronic format for retrieval and record retention.

Essential Functions: With or without reasonable accommodation must be able to perform all essential job functions as described below.

  • Collaborate with internal stake-holders to identify the proper method for form submission. Assist end-users with form location and retrieval from the ECM System.
  • Access and review daily reports to identify and track new and renewed loan files to be converted. Follow-up, as necessary to ensure receipt of loan file.
  • Break down and sort incoming bank-related files. Review document types and purposes to ensure all required documents as present. Follow-up to acquire missing documents.
  • Scan and index paper documents into the ECM system using the corresponding Scan Queue, Document Type Group, and Document Type. Separate paper folder for on and off-site filing and submit for review.
  • Migrate electronic loan files and other department documents into their appropriate Document Type Group and Document Type in the ECM system.
  • Monitor the automated document process to report process issues to keep with timely conversion and migration of documents.
  • Review, audit and commit converted documents, verifying the accuracy and integrity in the ECM system.
  • Confirm and file appropriate original loan documents to be retained per ECM Policy and procedures ensuring documents and files are properly secured and stored.
  • Maintain log of converted and stored documents and prepare paper documents for off-site storage.
  • Coordinate the sending and retrieval of documents with off-site storage vendor.

  • Proficiency at speaking, reading and writing English.

Experience and/or Education:

  • Six months of experience working in an office environment with exposure to recordkeeping.
  • One year of experience working with loan documentations, preferred.
  • Knowledge of loan terminology, preferred.
