Job Summary

The Payroll Coordinator, working under moderate supervision, is responsible for executing and validating all payroll processes to create payments and related reports for employees and retirees in multiple companies and tax jurisdictions. This role prepares and remits all general deductions. The role balances and monitors vendor tax payments and notices. The role posts and reconciles transactions to the general ledger. This role ensures compliance with federal and state payroll regulations, maintains accurate payroll records, handles any payroll-related inquiries from employees, and coordinates with other departments to ensure timely and accurate reporting of payroll data.

Job Responsibilities



  • Processes and manages payroll in a timely and accurate manner, ensuring that all employees are paid correctly and on time, while using payroll software to input and process employee data, reconciling discrepancies, and issuing paychecks or direct deposits.
  • Reviews and verifies payroll data, including employee hours, salaries, and deductions, to ensure accuracy and compliance with federal and state regulations, while also maintaining accurate payroll records and addressing any errors or discrepancies.
  • Monitors and loads file imports; runs system calculations and confirmations.
  • Ensures compliance with federal and state payroll laws and regulations while staying up to date on changes to these laws and adjusting payroll processes accordingly.
  • Stays up to date on changes in payroll laws and regulations, and adjusts processes and procedures accordingly, while communicating any updates or changes to relevant stakeholders.
  • Communicates with employees to address any payroll-related questions or concerns, and assists with payroll-related issues as needed, while maintaining confidentiality of payroll and employee data.
  • Works with other departments, such as Human Resources and Benefits, to ensure timely and accurate reporting of payroll data, while coordinating with these departments to resolve any issues or discrepancies.
  • Processes daily reports and sets up tax jurisdictions based on address/location/working arrangements of employees.
  • Balances deductions; prepares and remits general deduction memos for funding; posts entries to the general ledger.
  • Monitors vendor tax filings and payments, while staying up to date on changes to tax laws and regulations.
  • Maintains confidentiality of payroll and employee data and ensures that all payroll-related activities are performed in compliance with company policies and procedures, while also maintaining accurate records and providing reports as needed.



Job Qualifications



  • 2+ years of experience in Payroll Processing or related experience preferred.
  • High School Diploma, GED and/or commensurate experience, Associates degree preferred.
  • Focus on accuracy and attention to detail.
  • Experience with ADP preferred.
