Position Summary
The incumbent reports to the Director of Patient Support Services, who reports to the Associate Chief Operating Officer. The incumbent coordinates and manages the financial clearance, registration, and customer service/ patient experience operations of the Imaging and Diagnostic Department, using initiative, independent judgment and discretion concerning priorities.
Duties & Responsibilities
- Provides guidance to supervisor and support staff to ensure a competent and productive workforce. Resolves scheduling, registration and financial clearance issues with department personnel, representatives of the health care community.
- Assists in planning various aspects of special projects and essential programs, including complex scheduling and urgent requests.
- Oversees patient registration and financial clearance process ensuring patient insurance (primary, secondary) is verified and necessary documents (referrals, clinical notes, labs) are attached to the patients chart.
- Accomplishes departmental human resource objectives by recruiting, selecting, orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; communicating job expectations; planning, monitoring, appraising, and reviewing job contributions; planning and reviewing compensation actions; enforcing policies and procedures.
- Establish and maintain a continuous staff engagement and education process, working to inspire high performance and lower staff turnover.
- Monitors attendance time (punch in and out time). Audits staff work / activity for accuracy.
- Complete payroll and submit PAR requests for time and attendance correction. Audits attendance for department personnel quarterly
- Completes probationary and yearly performance evaluations for personnel.
- Conduct weekly staff meetings to discuss hospital initiatives, departmental progress, improvement plans, and staff concerns.
- Serves as liaison between departments and off- site clinics; provides information, assistance, and advice to various constituencies and individuals.
- Achieves departmental operational objectives by contributing information and analysis to functional strategic plans and reviews; preparing and completing action plans; implementing production, productivity, quality, and customer-service standards; identifying and resolving problems; completing audits; determining system improvements; implementing change.
- Meets departmental financial objectives by estimating requirements; Making recommendations for the annual budget; scheduling expenditures; analyzing variances; implementing corrective actions.
- Serves and protects the hospital community by ensuring adherence to professional standards, hospital policies and procedures, federal, state, and local requirements, and Joint Commission on Accreditation of Healthcare Organizations (JCAHO) standards. Monitors and coordinates staff compliance to UIC, State and departmental mandatory in-service/training and competencies.
- Analyzes organizational unit structure and functions to determine adequacy of existing organizational structure, eliminate duplications and non-essential activities, and clarify organizational relationships, with responsibility for recommending revisions in activities, organizational relationships, lines of authority, division of work, and similar operational matters.
- Accomplishes the hospital's goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
- Supervises other non-academic personnel, either directly or through appropriate supervisors
- Perform other related duties and participate in special projects as assigned.
Minimum Qualifications
- Any one or any combination, that equals 3 years (36 months) of the following types of preparation--
A. college course work leading to a major in hospital administration, health administration, or business administration, or similar area of study
a. Associate Degree (60 semester hours) equals 1 year (12 months)
b. 90-semester hours equals 2 years (24 months)
c. Bachelor's Degree (120 semester hours) equals 3 years (36 months)
OR
B. progressively more responsible experience that provided a knowledge of generally accepted principles, theories, and practices used in hospital administration, health administration, business administration or similar professional experience
- One year (12 months) of hospital/medical center/health care administrative work experience
OR
College course work leading to a Master's Degree in hospital administration, health administration, business administration or similar area of study
Preferred Qualifications
- Management and customer service experience
- EPIC- scheduling and registration experience
- Excellent attendance, interpersonal and communication skills.
