DSG is seeking a Warranty Administration Associate in either our Sheboygan, WI, La Crosse, WI, or Eau Claire, WI location. As a Warranty Administration Associate, you will be responsible for the timely and accurate processing of defective customer credits and defective vendor return purchase orders. In addition to maintaining vendor accounts to ensure accuracy, you will provide additional support to the branches through various other administrative duties.

A Typical Day in the Life of a Warranty Administration Associate at DSG:

  • Maintain proficiency in computerized systems and other technologies as required.
  • Utilize the inquiry system on the computer to get background information on orders.
  • Ensure material that needs to be returned to the vendor is in the warehouse.
  • Ensure approval is obtained if needed for the credit.
  • Ensure that the date code and serial numbers are documented correctly.
  • Invoice credits and add them to the correct vendor return.
  • Stay current with vendor return and vendor return policies
  • Verify defective vendor credits received match what is on the return vendor.
  • Follow up with vendors when credit does not match vendor return.
  • Process tool repairs and defective vendor returns.
  • Write customer credits for defective product and labor, as needed.
  • Train customers on submitting warranty claims.
  • Answer questions about defective product return or any of the above.
  • Use Warranty Express to issue Goodman/Amana credits to customers.
  • Bill/credit extended warranties
  • Maintain files on vendors and vendor returns.
  • Assist with the overall success of our phone system through answering and directing calls in a courteous and professional manner
  • Greet customer, vendor and other visitors to our branch and directs them to the appropriate person
  • Act as backup for balancing cash drawer and preparing bank deposit
  • Perform other duties as assigned.

A Successful Warranty Administration Associate Typically Has:

  • High School diploma or equivalent, with secondary or post-secondary coursework concentrated in a related field, or equivalent on the job experience as determined by the company.
  • Two to four years of experience in general office work.
  • Strong mathematical and analytical skills.
  • Demonstrated ability to communicate clearly in written and verbal formats. Strong customer service and interpersonal skills.
  • Proven proficiency in general personal computer applications, as well as in the use of Microsoft Office software, including Word and Excel.
  • Ability to work well in a team environment.
