Pediatrics


Your Role on the Team

Under the supervision of the Finance Director responsible for all aspects of purchasing, facilities coordination and reconciliation of all documentation associated with these functions for the Department of Pediatrics. Processes low-value purchase orders, high value requisitions and other types of purchases as required. Maintains accurate records and documentation in support of all purchases. Responsible for reimbursements involving payment to vendors for miscellaneous expenditures or department events. Performs key entry (i.e., date, P.O./reference #, vendor name/payee, amount, etc.) of all expenditures to the department financial reports.


What It Takes to be Successful

Required:

  • Experience with processing both routine and complex payments and reimbursements.
  • Proven organizational skills for independently managing all purchasing activities for a large academic research department.
  • Demonstrated ability to prioritize workload involving multiple functions and to meet deadlines with minimal supervision or direction and to complete assignments in an environment with frequent Interruptions and distractions.
  • Skill to organize a variety and large volume of complex documentation on a daily basis to maintain accurate and readily accessible purchase information/files.
  • Sophisticated knowledge of Purchasing principles as well as State and Federal policy and regulation related to purchasing activities.
  • Broad working knowledge of suppliers in order to obtain best prices and terms with vendors.
  • Ability to interpret and apply administrative policies and procedures.
  • Demonstrated ability to problem solve in a logical manner and to follow through to resolution.
  • Must also be able to work independently utilizing good sound judgment.
  • Effective oral, written, and interpersonal communication skills in order to conduct oneself in a courteous manner when interacting with supervisors, co-workers, faculty, students and guests of the department.
  • Demonstrated ability to write or correspond effectively with proper grammar.
  • Ability to establish and maintain cooperative working relationships with other department and campus staff, faculty, researchers, and vendors.
  • Proficient computer skills and working knowledge and experience with Microsoft Word, Excel, e-mail, an internet browser, Adobe Acrobat and PDF files.
  • Excellent typing, proofreading, and editing skills in order to perform on-line ordering and data entry.
  • Ten keys by touch calculator skills in order to calculate order totals.
  • Demonstrated ability to work as part of a team.

Preferred:

  • Experience performing purchasing functions at UC, including knowledge of and familiarity with UC Purchasing guidelines.
  • Working knowledge of UCIs on-line Purchasing/Accounting Link (PAL) system and the policies and procedures that go along with it.
  • Ability to interpret and follow a variety of UCI policies and procedures for travel and other reimbursements.

Special Conditions:

  • Must be willing to work occasional overtime to meet critical deadlines.May need to travel to purchase items for the department.
