POSITION SUMMARY:

As a member of the Development Operations team, and reporting directly to the Associate Director of Operations, the Development Associate, Operations provides critical and foundational operations activities in support of all fundraising efforts led by the Office of Development. This role maintains the resources to support all gift processing activities of the Office of Development and ensures consistency and accuracy of the gift recording and receipting business line. The Development Associate, Operations will partner with the Associate Director of Operations on the improvement, documentation, and adoption of procedures related to gift processing, records management, and receipting in Raiser's Edge NXT and online giving platforms utilized by the Development Office. They will apply and stay abreast of all IRS rules, CASE Global Reporting Standards, and BMC Policy ensuring compliance in their daily work, and that of the Gift Processing team. In partnership with the Sr. Associate Director of Information & Operations, this role will create lists and reports to ensure timely, accurate, and impactful reporting on development activities in support of each team in Development and will drive other database updates and projects as needed.

The successful candidate will be able to perform in a fast-paced, deadline-driven environment. They will have Development Operations experience, including gift processing, data management, systems management, a command of Word and Excel, and intellectual curiosity; be self-motivated; an adaptable problem-solver; and embrace making decisions independently. This position requires an individual who is exceedingly detail-oriented and organized, who possesses determination for accuracy and can navigate complex systems.

ESSENTIAL RESPONSIBILITIES / DUTIES:


  • Manage the accurate implementation of policies and processes related to gift and grant entry, and to gift receipting.

  • Update, maintain, and create documentation related to gift and grant processing procedures, Operations team processes, and integration with overarching office wide policies, processes, and procedures.

  • Liaise with all frontline teams (Major and Individual Giving; Corporate & Foundation Relations) and other internal partners to resolve issues related to gift and grant processing; respond to donor inquiries; provide and effectively communicate timely updates and reports.

  • Communicate with various members of the Development Office, BMC Physicians, hospital departments, and donors to provide solutions to donation, data, and receipting queries.

  • Ensure team compliance to quality control related to gift processing and receipting by performing daily and monthly gift and receipt audits, paying particular attention to IRS rules, CASE Global Reporting Standards, and BMC Policy.

  • Assist and serve as backup for daily gift processing with the booking and acknowledgment of all gifts/grants/pledges, with high level of accuracy and attention to detail.

  • Maintain the integrity of the NXT database by producing reports and lists, data appends, as well as other database updates and projects as requested by department members.

  • Partner with the Prospect Research team to perform regular patient screenings, integrating data from multiple systems into a comprehensive report.

  • Support major BMC fundraising events including, but not limited to, BMC Seasons (annual Gala), Catwalk for Cancer, and Golf Tournament by assisting the Events team in opportunity management, gift tracking & reporting, and assisting with day of event management operations.

  • Oversee the integrity of filing and documentation systems with key partners in the development office paying particular attention to all Development Operations-related materials and processes.

  • Perform other duties, as needed


Job Requirements

EDUCATION:

  • Bachelor's degree required

EXPERIENCE:


  • At least 3 years of Development Operations experience required, 5 years preferred

  • Experience using fundraising databases (Blackbaud Raiser's Edge or Raiser's Edge NXT preferred) and online giving tools (FundraiseUp, GiveSmart, Givezy preferred)

  • Hybrid schedule with two day minimum onsite requirement


KNOWLEDGE, SKILLS & ABILITIES (KSA):


  • Strong problem-solving skills with exceptional attention to detail

  • General knowledge of gift processing and donor records management best practices (i.e. - CASE Global Reporting Standards)

  • Strong Microsoft Excel and Word skills

  • Excellent written and verbal communication, quality control, and organizational skills

  • Strong professional demeanor and customer service mindset

  • Proven ability to multitask

  • Ability to work independently and as part of a team
