Summary:

The mission of the Finance Department at the ASPCA is to execute our strategic financial plan that directly impacts our mission to ensure animals live good lives: valued by society, protected by its laws, and free from cruelty, pain and suffering.

Reporting to the Director, Business Systems and working closely with the Financial Planning and Analysis (FP&A) and Financial Control teams, the Senior Workday Analyst, Business Systems plays an important role in implementing, maintaining and optimizing systems utilized to manage the ASPCA's finances and operations.

As a systems administrator and key support resource for financial and procurement systems, the person in this role will help ensure that business systems support the organization's efforts to improve the lives of animals. They will support all finance and procurement-related modules in Workday, including but not limited to helpdesk tickets, configuration, business processes, worktag maintenance, security, integrations, and reporting. They will also work closely with financial and non-financial Workday users across the organization to identify, evaluate, and recommend efficiency improvement opportunities and technical solutions to business issues. Additionally, they will support all Workday Releases and functionality updates, including testing and/or configuring new features and processes.

This remote-based position is open to all candidates based within the United States; NY Tri-state area preferred.

Responsibilities:

Responsibilities will include, but are not limited to:

Finance and Business Systems Management (50%)

  • Act as subject matter expert for day-to-day technical issue diagnosis and drive resolution for functional owners and end-users, working with Director of Business Systems and external consultants as needed.
  • Provide timely responses to finance and procurement-related helpdesk tickets and update status of Workday cases through Fresh Service and external consultants' ticketing system.
  • Maintain and update approved Workday configuration and business process workflow, including but not limited to creating/updating condition rules, custom validations, reassigning unassigned tasks, reviewing role assignments, delegation, cost center reorganization, use of related worktags, updates to worktags, spend categories, revenue categories, etc.
  • Maintain and update Adaptive Planning, including but not limited to integration loaders, data sources, access rules, publishing plans, and general model management.
  • Support all financial system interfaces including but not limited to cXML punch-out, PO-issuance and invoicing, bank statement reconciliation (BAI2 files), outgoing payments, and credit card expense integrations.
  • Develop, maintain, and deliver custom Workday reports and analytics utilizing the most efficient report type and calculated fields where needed, including but not limited to Composite, Matrix, Advanced, and Standard reports. Explore and/or deploy dashboard functionality for Finance and non-Finance users.
  • Work collaboratively with cross functional internal Workday team to maintain and enforce consistent security across Workday Financials. Maintain data integrity and enforce consistent data mapping across systems. Troubleshoot irregularities; partner with Functional teams to research, correct discrepancies, and ensure compliance.
  • Leverage deep Workday Financials, Adaptive and Procurement systems knowledge to identify inter-dependencies and clearly communicate the business process, or technical implications and benefits/risks of proposed systems changes to stakeholders.
  • Participate as an active member of the Workday Internal Support Team, attending biweekly meetings to review and/or propose changes to the system, reporting on high-impact activities, resource allocation, tenant management and reviews/updates open tickets with external consultants.

Business Systems Optimization (40%)

  • Partner closely with Director, Business Systems and subject matter experts in the Finance department to support the continuing optimization of all finance and procurement systems and drive greater efficiency.
  • Research overall system functionality, utilization, and effectiveness of Workday's Finance and Procurement-related modules. Develop business requirements, identify process improvement opportunities, and provide recommendations to ensure full Workday utilization.
  • In conjunction with the Director, Business Systems, assist in leading and supporting Workday Release updates for the Finance Team, including execution of testing plans for new features and processes, specifically during bi-annual Workday releases.
  • Contribute, support, and maintain Workday Adoption Items Tracker; including researching new/improved functionality, outlining requirements, identifying risks/challenges, and implementing items prioritized to meet business needs.
  • Develop business knowledge and understand stakeholders' needs, within Finance and the programmatic areas; support/configure the system to meet those needs, thinking strategically and creatively to offer solutions that maintain consistency across the system.
  • Support and guide Finance and non-Finance users to complete testing of new finance-related systems functionality.
  • Implement and maintain necessary change documentation and processes in accordance with IT standards.
  • Attend appropriate training, seminars, and participate actively in the Workday Community, including proposing and advocating for improvements, in order to proactively stay current on future Workday functionality.

Finance, Real Estate, Facilities & Project Management Office (FRFP) Team Support (10%)

  • Join FRFP sub-team meetings as trusted Workday system administrator and problem solver, to understand organizational priorities and provide systems solutions to help achieve goals.
  • Understand all operations of the Finance/Procurement team and identify systems solutions to improve cross-functional processes within the team and between the team and other organizational departments.
  • Other responsibilities as assigned.

Education and Work Experience:

  • High School Diploma or GED and Bachelor's or relevant experience (required)
  • At least 5 years of professional experience, with significant experience in financial and operational-related computer systems, is required
  • At least 3 years of experience as a Workday Financials consultant or system administrator is required
  • Workday Pro Certification in Financial Management, Financials Reporting, Adaptive Planning, Integrations, Security or Platform Administrator is beneficial
  • Experience with Workday Adaptive Planning or similar financial planning tool is beneficial
  • 3 years' experience supporting system updates and releases is required
  • 3 years' experience working in a Finance or IT function within a complex organization, which supports a wide range of different teams/programs with varying business needs, is required
  • 3 years' experience analyzing and documenting business processes is required
  • Experience and formal training as a project manager is beneficial
  • Systems implementation experience is beneficial

Qualifications:

  • Advanced functional knowledge of Workday Financials (FINS), including but not limited to: Core Financials, Assets, Taxes, Revenue Management, Customer Accounts, Supplier Accounts, Accounts Payable, Banking & Settlement, Cash Management, Expenses, and Procurement
  • Experience using or administering Adaptive Planning
  • Workday report writing expert, including creating and maintaining custom reports (Composite, Advanced, Matrix), creating and managing dashboards, and significant experience creating calculated fields
  • Must be able to independently manage complex technical tasks and report to Manager upon completion of tasks, or when specific guidance is required
  • Good judgement in terms of escalating issues vs. solving problems independently
  • Strong customer service orientation with capability to build lasting stakeholder relationships at all levels of an organization
  • Proactive self-starter, takes initiative to analyze trends and patterns in issues, identify stakeholder needs; proactively suggest mitigation strategies and improvement opportunities, and act quickly to capitalize upon them
  • Highly organized and able to multi-task and manage competing demands and priorities
  • Proven track record of implementing and improving systems and processes in a complex and fast-paced work environment
  • Strong interpersonal and written and oral communication skills; with the ability to clearly and concisely communicate technical information to non-technical users

  • Interest in animal welfare field is required; prior work experience in NGO/non-profit sector is not required
  • Must be able to work in a stationary position and repetitively use hands for 8+ hours daily
  • Ability and willingness to travel up to 5% of the time as needed

Compensation and Benefits:

Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary range for this role is set forth below and may be modified in the future.

  • For Salary Roles: The target hiring range for this role is $108,000 - $115,000 annually.
