Foley & Lardner LLP's San Diego office is currently seeking an experienced Assistant to join their Intellectual Property (IP) Litigation practice group. The right candidate will provide legal assistance to attorneys in the daily operation of practicing law by providing quality work product for clients. The Assistant will also perform duties through the performance of complex secretarial and clerical tasks and produce documents relating to specific functions and requirements as set forth within practice groups using the firm standard word processing and other applicable software.
Responsibilities
Anticipate attorney's needs and prepare necessary documentation in draft for attorney's review
- Draft and complete documents/paperwork supporting patent prosecution, ITC practice needs by accurately and promptly completing necessary forms, documentation, and other administrative tasks
- Prepare, revise, and format legal documents (e.g. pleadings, discovery, and motions) and file and serve in state and federal courts
- Provide document production services, including styling and formatting of documents; proofreading and checking for appropriate formatting, spelling and grammatical errors
- Manage electronic e-docket and maintain secondary docket; collaborate with primary docketing department, client team, and USPTO when necessary
- Manage inbox/emails by acknowledging, distributing, and saving to electronic document repository (NetDocs)
- Create, organize, maintain, and retrieve physical and electronic client communications, research, and administrative files utilizing NetDocs
- Schedule appointments and arrange for travel, with an eye to efficiency, budget and quality of practice
- Invoice and expense report review and processing through Chrome River
- Input Partner's time in Intapp time and record information with billing practices of the client in mind
- Submit conflicts check(s) and new client matter information through OPEN; prepare engagement letters and assist with client billing as required
- Prepare documents and packages for mail, messenger, and overnight delivery; ensure that all attachments, exhibits, and enclosures are intact; provide clear and succinct guidelines to any department assisting with this process
- Manage incoming and outgoing mail and e-mail
- Proactively assist attorneys by researching court rules for state and federal courts, local rules, and judge preferences in which the attorneys practice
- Interact and correspond professionally with clients, attorneys, and staff to ensure instructions are received, deadlines are met, and filings are reported
- Respond appropriately to emails, telephone calls, letters and/or visitors; use resources to resolve and answer routine questions
- Greet attorney's clients and guests for meetings and appointments and ensure that all required materials are organized in advance
- Receive and redirect attorney requests and needs as appropriate to expedite solutions
- Back-up other assistants as needed and provide exceptional collaborative services across client teams and offices
Qualifications
- High School Diploma or GED required; Associate's Degree, or Bachelor's Degree in a related field preferred
- Minimum of three (3) years of legal support experience in IP Litigation or Litigation with exposure to Intellectual Property work required
- Knowledge of e-filing and e-service via ECF and PACER platforms required
- Familiarity with InTapp Open, Chrome River or similar platforms desired
- Keen attention to detail and able to think critically and analytically in a pressured environment
- Collaborative approach to practice management highly desired
- Excellent verbal and written communication skills to interface with attorneys, clients, vendors, court personnel and other staff members
In support of transparency and equity in the workplace, Foley provides salary ranges for all positions. The figures below represent the full compensation range of this position. The actual offered amount will be between the range minimum and midpoint based on the following factors: education, experience, geographic market, and internal pay equity at Foley. San Diego - $55,100 to $125,500
